Position Summary:Manages and oversees all day-to-day operations of the campus Testing Center ensuring a secure and efficient testing environment for students and community members. The Testing Coordinator is responsible for administering coordinating and proctoring a wide range of standardized academic and accommodations exams. This role involves working with student and faculty clients developing and updating policies and ensuring full compliance with institutional state federal and third-party testing agency policies including FERPA regulations.

Essential Functions:
Oversees all day-to-day operations of the Testing Center. Works with supervisor to develop and update services policies procedures and schedules in response to changing demands.
Serve as point of contact for inquiries related to testing services policies and procedures. Address concerns and resolve issues in a timely and professional manner. Collaborate with other departments to provide testing needs for students.
Foster demonstrate and actively participate in a culture of mutual respect for students guests and co-workers from all backgrounds perspectives and abilities. Communicate effectively with students colleagues and supervisors.
Coordinate and proctor a variety of standardized exams on the Washburn Tech campus including but not limited to: Accuplacer TEAS GED Pearson Vue CNA-HHA CMA ASE Auto Surg Tech make-up exams and other community exams as needed.
Manage the scheduling of exams including coordinating with faculty staff students and outside agencies to determine testing dates times and locations. Responsible for providing scheduling flexibility with student schedules to accommodate testing and program deadlines.
Facilitate and track payment for exams utilizing Marketplace Portal and a log sheet to track order numbers to ensure students have paid before sitting for the exam; send student confirmation emails.
Publicize services communicate program policies/procedures to campus and community and maintains integrity of testing environment. May assist with the design and distribution of flyers handouts and door signs regarding the Testing Centers hours and rules.
Administer proctor score and transmit results of all tests administered by the Testing Center. Observe college state/federal and test agency policies and procedures for security/confidentiality of testing records; includes adherence to FERPA and the protection of student records.
Maintain a quiet atmosphere for testing while safeguarding the confidentiality and security of all testing materials records and documents by implementing proper procedures for test distribution collection and storage. Monitor test sessions to prevent cheating and academic dishonesty.
Assist students needing special accommodations including reading assistance extended time or facilitating a customized testing environment.
Problem-solve technical issues independently or by using appropriate campus resources
Understand emergency protocols for testing in the event of fire tornado etc. as well as protocols for reporting misconduct to all appropriate channels. Opens and closes the Test Center daily.
Input scores into appropriate software programs as necessary.
Train and supervise proctors ensuring they understand their responsibilities and adhere to testing protocols. Provide support and guidance to proctors during test sessions.
Ensure compliance and maintain documentation on Testing Center compliance with third-party testing center standards and promptly responds to third-party support and quality channels on technical quality and other issues as they arise.
Maintain security of tests and materials by routinely inventorying materials reviewing procedures for security ensuring secure storage and returning all test booklets and related materials to appropriate testing companies. Coordinate ordering of exams and supplies on an ongoing basis with supervisor.
Maintain Testing Center statistics including number of people tested number of tests given and type of tests. Prepares monthly and annual reports and makes recommendations to the supervisor concerning program implications.
Coordinate schedule and oversee all test proctoring for outside certification agencies
Maintain certifications necessary to administer specialized exams.
Engage in professional development activities and maintains knowledge and awareness of effective testing practices and certification statuses.
Work may require travel between campus locations.
Assist with graduation recruitment retention and other activities as needed.
Perform additional job-related duties as assigned or as appropriate.
Required Qualifications:
A bachelors degree plus experience in administrative support. An equivalent combination of education and professional experience will also be considered.
Demonstrated effective communication interpersonal and organizational skills.
Proven proficiency with Microsoft Excel Word and Outlook.
Attention to detail.
Ability to interpret follow and apply testing regulations.
Proven ability to maintain confidentiality.
Capacity to work effectively as a member of a team and independently.
Physical Requirements:
Some evenings and weekends required.
Preferred Qualifications:
Experience administering or proctoring tests or test programs.
Ellucian Banner experience.
Hourly Full-time Mon-Fri 8am-5pm
