This is a remote position.
Respite Care of San Antonio (RCSA) provides services to enhance the stability and nurturing opportunities of families caring for a loved one with developmental disabilities and/or complex medical diagnosis. Our goal is to strengthen and stabilize families prevent possible child abuse and prevent or delay institutionalization of the child with special needs.
We offer various services for children with developmental disabilities and/or complex medical diagnoses such as a full-time daycare mothers day out program family day out/parents night out program and summer camps. Along with this we are a licensed emergency shelter and foster placement agency for children who have been taken into state protective custody.
The Remote Records Management Clerk is responsible for maintaining organizing and safeguarding agency records in compliance with state federal and organizational standards. This position supports accurate record keeping for childrens services staff documentation and administrative records while ensuring data confidentiality and efficient information retrieval. The role requires exceptional attention to detail strong data management skills and the ability to work independently in a remote setting.
Key Responsibilities
Records Organization & Maintenance
Establish maintain and update digital and physical records according to agency procedures and retention schedules.
Scan upload and organize documents into secure databases and shared drives.
Maintain version control and ensure records are complete current and accurately filed.
Support the archiving purging and destruction of records per policy and compliance requirements.
Compliance & Confidentiality
Ensure all records management practices comply with HIPAA state licensing regulations and organizational confidentiality standards.
Track document expiration dates (e.g. staff training certifications background checks medical records).
Prepare and organize files for internal and external audits licensing reviews and monitoring visits.
Data Entry & Quality Control
Enter review and verify data in agency information systems with a high degree of accuracy.
Identify and correct data discrepancies or missing information.
Maintain logs spreadsheets and reports to track record status and completion.
Collaboration & Support
Coordinate with program directors administrative staff and case managers to ensure timely record updates.
Respond to record requests and provide documentation support to authorized staff.
Assist with process improvements to enhance efficiency and compliance within the records management system.
Requirements
High school diploma or equivalent required; associates degree or coursework in Business Administration Information Management or a related field preferred.
No experience needed we will train and training is paid
Proficient in Microsoft Office Suite (Word Excel Outlook) and electronic records management systems.
Strong organizational skills and exceptional attention to detail.
Excellent communication skills and ability to handle confidential information with discretion.
Reliable internet connection and ability to work independently in a remote environment.

High School diploma or equivalent required Associates degree or higher education preferred Minimum two years of experience working with direct care; developmental disabilities and/or childcare experience preferred At least one year experience as a supervisor (more than 5 employees) Must be at least 21 years of age Valid drivers license Ability to pass all background checks Ability to attend 40 hours paid new hire orientation training during the day First Aid and CPR certifications preferred (may obtain after hired)
