Description
The Data Support Coordinator will support the consistent and effective usage of our data tracking systems; including member account support data validation and integrity reporting and training. The Data Support Coordinator also has primary responsibility for all data tracking and reporting for the 21st Century Community Learning Center (CCLC) sites in the Cayen data management system. Additionally the Data Support Coordinator ensures daily duties associated with data management are consistent with the Boys & Girls Clubs of the Fox Valleys mission.
Essential Job Functions
Operations
- Provide support for the maintenance security and integrity of the organizations datasets and databases as assigned.
- Maintain confidentiality with all data reporting and evaluations.
- Support the effective use of data recording tracking and reporting systems by helping develop standard operating procedures instructions training and documentation as needed.
- Assist caregivers with memberships payments caregiver portal financial information etc.
- Ensure data is accurately entered into the appropriate database in a timely manner.
- Ensure 21st CCLC Cayen system data is maintained and updated including program schedules attendance and APR/GPRA reporting data.
- Contribute to 21st CCLC audit processes as needed.
- Attend all relevant training courses related to 21st CCLC.
- Compile and analyze data reports as requested.
- Contribute to effective teamwork by participating in cross-organization collaborative operations and opportunities.
- Follow a continuous learning path and contribute to effective implementation of continuous improvement processes.
- Support the timely accurate and ethical use of data and metrics to inform data-driven decisions.
- Represent the organization to the community in a way that enhances the organizations profile and supports its strategic priorities.
- Work toward the achievement of the relevant goals and objectives which support the strategic direction of the organization.
- Support the effective and efficient organizational operations that meet the expectations of the youth and families it serves staff volunteers Board and funders.
- Support the planning implementation execution and evaluation of special projects.
- Adhere to the organizations mission meet the current and emerging needs of young people and their families with consideration to equity and trauma-informed practices.
- Elevate equity and trauma-informed practices that promote a positive inclusive and safe work environment.
Resource Development
- Participate in organizational fundraising efforts and special events.
- Support philanthropic efforts that prioritize fundraising and donor relations.
Safety and Risk Management
- Ensure safety practices meet or exceed organizational requirements.
- Support implementation of comprehensive measures to control and minimize risks in all aspects of safety.
Talent Development
- Achieve high quality performance that emulates the organizations values and commitment and maintains compliance with organizational policies.
- Participate in talent development and performance coaching and evaluation processes which includes engagement with professional development goal setting and participation in and compliance with training requirements.
Other duties as assigned.
Qualifications
The Data Support Coordinator requires a majority combination of the following:
Education and Experience
- Associate degree
- At least 2 years experience in data entry and analysis related field.
- Demonstrated record of proficiency with data management software experience in Salesforce a plus.
- Experience with positively interacting with customers and families.
Skills and Requirements
- Exceptional communication skills that are timely open and clear.
- High attention to detail.
- Knowledge of and ability to effectively use computer software and database systems; especially Microsoft Office Excel.
- Ability to establish and maintain effective working relationships with others.
- Ability to work independently and efficiently.
- Consistent and reliable transportation.

Working Conditions
Work will primarily be in a climate-controlled environment with minimal safety/health hazard potential. Sedentary sitting walking occasional lifting (overhead waist level) from floor bending frequent near vision use for reading and computer use; frequent stressful conditions possible (cardiovascular).
