Job Summary

PURPOSE

The Executive Assistant - Construction provides critical administrative and organizational support to the Director of Development and Construction and the broader construction and development team. This role ensures the efficient operation of construction project documentation vendor coordination scheduling reporting and compliance tracking. The position serves as a central point of contact for internal teams external contractors and consultants across multiple development projects in various states.


Qualifications :

DUTIES AND RESPONSIBILITIES

  • Support the Director of Development and Construction with daily administrative tasks including calendar management meeting coordination and correspondence.
  • Prepare track and organize project documentation including contracts purchase orders change orders RFIs submittals permits and inspection reports.
  • Maintain and update project tracking systems construction schedules and budget reports in coordination with project managers.
  • Communicate regularly with contractors architects consultants and vendors to support project timelines and deliverables.
  • Assist with bid solicitation tracking proposals and coordinating pre-construction and construction meeting logistics.
  • Ensure compliance with company policies and local/state/federal regulations through proper documentation and reporting.
  • Process invoices and payment applications; work closely with accounting to ensure accurate billing and timely payments.
  • Manage digital and physical filing systems for active and archived construction projects.
  • Prepare reports presentations and updates for internal leadership meetings.
  • Provide administrative support for travel arrangements expense reports and special events related to construction projects.
  • Assist in onboarding new vendors and managing vendor compliance documentation (e.g. COIs W-9s licenses).

QUALIFICATIONS

  • High school diploma or equivalent required; associates or bachelors degree in Business Administration Construction Management or related field preferred.
  • 2 years of administrative experience in construction real estate development or property management industry.
  • Familiarity with construction terminology documentation and processes.
  • Proficient in Microsoft Office Suite (Word Excel Outlook PowerPoint); experience with construction software (e.g. Procore Bluebeam Smartsheet or similar) is a plus.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to prioritize tasks manage multiple deadlines and work independently in a fast-paced environment.
  • Professional demeanor and the ability to interact effectively with team members vendors and external partners.
  • Notary Public certification (or willingness to obtain) is a plus.
