Job Summary

JOB DETAILS
The successful person will work as part of the Ibec Academy to assist a dynamic team to deliver high-quality training services to organisations.

The Ibec Academy have been providing training for over 30 years in the area of people management HR leadership coaching mediation employment law industrial relations occupational health and safety project management and organisational change. We have recently launched our new branding for the Ibec Academy illustrating our growth and commitment to the learning and development market in Ireland. The brand of Ibec Academy our legacy as one of Irelands leading providers of premium management development programmes. ABOUT THE ROLE

The candidate will workmainly inouropentraining programme area.The ideal candidate will be flexible in their approach adaptable a strong multitasker and enjoy working in afast-pacedenvironment. The candidate should be proactive anddemonstratestrong initiative.

Main responsibilities include:

  • Manageall administrative details ofonline andclassroom basedtraining
  • Manage and assigncustomisedinbound leads sales team
  • Assistthe sales team withcustomised proposalsand tenders
  • Junior key account management of client relationships in the customised training area
  • Manage training coordinationincluding:room and calendar scheduling participantregistrationand feedback surveys
  • Relationship management with client companiesand students
  • Liaise with companiesand trainersto organisetrainingdates
  • Relationship management with Technological University Dublin with regards toaccredited training courses
  • Responsible for all administration processes required for accredited training certificates
  • ManageTMS andLMS system ensuring all information is complete andaccurate
  • Track bookingsto ensure numbers are on track. Relaythis information to the wider team at weekly meetings
  • Work closely with the finance team and track Ibec Academy finances
  • Review quality of training material
  • Ensure quality standards are upheld

Other dutiesinclude:

  • Assistwith ad-hoc projects across the department
  • Dealing with queries on all aspects of training administration
  • Managebookings
  • Invoicingpurchasesand debt collection
  • Preparing costings on programmes and planning expenditure vs income for events
  • Respond to requests for documentation and web based information
  • Take bookings/calls related to events/training setting up presenters/venues
  • Deal with internal information requests
  • Issue communications/segments to members asrequired
  • Website maintenance ensure overall website quality and content ismaintainedthroughout the year.
  • Support publications production; quality proofing and coordination for the production
  • Ensuring all databases are accurate and up to date
  • Formatting documents word andPowerPoint scanningtypingand filing support
  • Preparation of documentsreportsand submissions
  • Diary management; travel arrangements
  • Support promotional campaigns
  • Co-ordinates meeting arrangements; minutes and agendas
  • Manage bookings and promotion.

Qualifications

  • Post leaving certificate qualification

Knowledge base

  • Understanding of delivering service excellence tocustomers
  • Fluent English
  • Knowledge of information communication and web technology for service delivery
  • Knowledge of Ibec Academy
  • Knowledge of Ibec and its services to members
  • Proficient in MicrosoftOffice(Teams Outlook Word Excel)
  • Proficient in Zoom

Work Experience

  • Previousexperiencein a busy environment where initiative flexibility customerserviceand organisation skills weredemonstrated; especially in relation to Marketing/Events/Training /fast paced administration activities
  • Minimum 2 years office experience
  • Previous experiencing working in a training department beneficial
