Job Summary

The Medical Scheduler is responsible for coordinating and scheduling patient appointments in a timely and efficient manner while ensuring a positive patient experience. This role requires strong organizational skills attention to detail and the ability to communicate effectively with patients providers and staff.

Key Responsibilities

  • Schedule reschedule and confirm patient appointments according to provider availability and office protocols.
  • Verify patient information insurance eligibility and referral requirements prior to appointments.
  • Maintain accurate records in the electronic medical record (EMR) system.
  • Coordinate appointments for multiple specialties or procedures when needed.
  • Communicate professionally with patients regarding appointment details preparation instructions and follow-up care.
  • Work closely with clinical and administrative teams to ensure efficient patient flow.
  • Handle a high volume of incoming calls while maintaining courteous and professional communication.
  • Manage scheduling conflicts and resolve patient concerns promptly.
  • Follow HIPAA and organizational policies to protect patient confidentiality.
  • Assist with other administrative duties as assigned.

Qualifications

  • Education: High school diploma or equivalent required; associate degree or healthcare-related coursework preferred.
  • Experience: Minimum 12 years of experience in a medical office scheduling or customer service role preferred.
  • Skills:
    • Proficiency with EMR/EHR systems and scheduling software.
    • Excellent communication time management and problem-solving skills.
    • Strong attention to detail and accuracy.
    • Ability to multitask in a fast-paced environment.
    • Knowledge of medical terminology and insurance processes a plus.

Work Environment

This position typically operates in a professional office or clinic environment. It may require extended periods of sitting computer use and telephone communication.
