The Program Coordinatorsupports allNursing programsin theWorkforce Education Division.This is a full-time classified position with a state benefits package; beginning salary is $3665 per month for 40 hours per week with periodic increments.

The Program Coordinator serves as the connective tissue of the program the essential link that ensures all components work in harmony. This role is both the operational backbone and the public face of the program responsible for maintaining internal alignment and fostering strong relationships with internal and external partners. Through strategic coordination clear communication and proactive problem-solving the Program Coordinator ensures the program runs smoothly efficiently and with impact. The Program Coordinator demonstrates a high level of professionalism in all forms of communication and interaction both internally and externally.

Reporting to the Assistant Dean of Nursing the Program Coordinatorwill independently perform work requiring knowledge and experience specific to technical and professional programs. Organize and perform work specifically to program operations independent of the daily administrative office needs of the supervisor. This role provides information and resources throughout the organizational structure communicating frequently with the Assistant Dean of Nursing to support program operations. The Program Coordinatorwill represent the program by establishing positive relationships with all constituents. Will provide specialized technical/clerical duties in support of Nursing programs


This position requires a high skill level using technology and software systems such as Microsoft Suite (Excel Access Word) accountability dependability and professional positive engagement with internal and external community members. Duties are performed in an office environment. Long periods of computer work may be necessary to complete assignments. Occasional lifting of items up to 50 lbs. may be required.

Essential Tasks

Budgetary:

  • Monitor budget status in line with program activities plans or priorities; maintain program budgets and initiate corrective action; sign vouchers; receive process and deposit funds; assist in the preparation of grants and grant proposals
  • Review budget requests and revisions
  • Accurately maintain and monitor program budgets.
  • Complete and input requisitions using purchasing software.
  • Complete invoice vouchers A19 vouchers accounts payable vouchers budget and expense transfers travel authorizations and travel expense vouchers etc.
  • Balance program budgets monthly to the budget reports generated by the Business Office.
  • File and make accessible program and fiscal documentation.
  • Responsible for a purchasing card and monthly reconciliation of purchases.
  • Download and distribute fiscal data and reports.
  • Develop an understanding of and follow all college and departmental fiscal policies.
Public Relations:
  • Provide program information to students staff program participants and/or the public regarding program content policies and activities recommend alternative courses of action; promote the program on campus with outside organizations;
  • May make public presentations related to program specialty;
  • Represent assigned program(s) accurately and positively to all constituents
  • Maintain positive relationships with the public students faculty staff and administrators
  • Serve as a program liaison to other college departments committees and outside agencies
  • Accurately perform complex word processing to include but not limited to merging and sorting integrating text with graphics spreadsheets and database files uploading and downloading and meeting document accessibility standards
  • Follow all college policies and procedures accreditation standards and State WACs
  • Attend college meetings as assigned.
Program Focused:
  • Monitor program activities in relation to established program goals; within the established program parameters determine variance from program standards.
  • Use word processing graphics statistical spreadsheet and/or database software to prepare narrative and/or statistical reports on program operations.
  • Compose correspondence printed materials and/or news releases related to program policies procedures and operations.
  • Maintain Nursing program websites; submit/communicate necessary changes for the website to the website administrator
  • Coordinate program activities such as meetings conferences and events.
  • Attend advisory committee and department meetings.
  • Ensure Nursing program advisory committee minutes and advisory committee member lists are updated on the WED SharePoint.
  • Accurately and in a timely manner establish maintain and compile records (including student records) files and statistical information requested by the Nursing Director.
  • Extensive involvement with students staff the public and/or agencies in carrying out program activities.
  • Process student applications following program guidelines and send letters and forms upon the Assistant Deans final approval.
  • Distribute and prepare reports for graduate student employer surveys and alumni surveys.
  • Assist the Assistant Dean of Nursing with self-study process for Nursing accreditation requirements.
  • Order receive and maintain inventory for office and lab supplies for assigned programs.
  • Support faculty and staff with travel authorizations expense vouchers travel arrangements/reservations and/or other YVC travel authorization paperwork.
  • Provide students staff program participants and members of the public with accurate information specific to the assigned programs.
  • Maintain purchasing records and resolve problems.
  • Ensure compliance with departmental institutional and/or granting agency policies rules and regulations.
  • Biohazard waste disposal pick up coordination for the WED Division(quarterly).
  • Work closely with program faculty to support designated programs and the institution.
  • Assist divisional scheduler with program course scheduling and track and monitor faculty IUs.
  • May direct the work of part-time hourly and work study students assigned to the Nursing Program.
  • Perform the duties of Program Assistant.
  • May work occasional evenings and/or weekends.
  • May support other Professional Technical programs as backup during absences.
  • Other duties as assigned.

Qualifications

MINIMUM QUALIFICATIONS:

  • An earned Associates degree in Health Information Management Business Management Business Technology Healthcare or related fields from an accredited institution.
  • Advanced skills with software programs including Access Excel Word PowerPoint etc.
  • Two years of full-time office management experience.
PREFERRED QUALIFICATIONS:
  • An earned Bachelors degree in Health Information Management Business Management or Healthcare.
  • Experience with learning management platforms (CANVAS).
  • Experience with enterprise systems (People Soft).
  • Experience in a higher education organization.
  • Proficient knowledge with the use of most current Microsoft applications and demonstrated ability to learn additional software applications.
  • Experience with accounting practices and fiscal management.
  • Supervisory experience.
ABILITY TO:
  • Concentrate for extended periods work with multiple interruptions and multitask.
  • Self-manage work independently and meet deadlines as necessary.
  • Use computers and a variety of software including Microsoft Office Access Excel Word survey software video conference technology etc.
  • File information using appropriate conventions both with physical files and electronic file systems.
  • Communicate knowledge and skills in both oral and written forms to students who represent abroad spectrum of ages abilities ethnicity education and cultural backgrounds.
  • Work collaboratively with a diverse faculty staff students public and community partners to create a positive work environment.
  • Problem solve and communicate through appropriate organizational structures.
  • Follow college policies and procedures.
  • Ensure project deadlines are met or exceeded.
  • Organize inventory materials documents processes.
  • Create operations manuals for knowledge transfer.

  • FERPA (Family Educational Rights and Privacy Act) AND HIPAA (Health Insurance Portability and Accountability Act).
