The Role:
As our Project Coordinator / Administrative Assistant youll play a vital role in supporting our Project Management and Administrative teams. Youll help keep multiple projects organized communicate with vendors and field staff and ensure operations stay on track.
This role is fast-paced but highly rewarding perfect for someone whos detail-oriented proactive and thrives on juggling multiple priorities.
Key Responsibilities:
- Support the Project Manager in coordinating multiple commercial projects through clear communication with team members clients and vendors.
- Manage project documentation contracts submittals RFIs change orders permits as-builts and closeout packages.
- Oversee material procurement including vendor setup pricing ordering tracking deliveries and confirming receipt of materials.
- Maintain accuracy and organization in project management software updating project details purchase orders schedules and change orders.
- Dispatch field personnel daily and assist with scheduling warranty and service calls.
- Keep company calendars bid tracking and project logs updated for leadership visibility.
- Provide general administrative support such as answering phones greeting visitors preparing meeting materials taking minutes and maintaining office organization.
What You Bring:
- 2 years in construction administration coordination or similar multitasking role (electrical experience preferred)
- Proficiency in Microsoft Office and familiarity with project management software
- Excellent organization communication and follow-through skills
- Calm under pressure adaptable and team-oriented
