Our law office is growing and were looking for a full-time on-site Legal Intake Specialist to join our team!
Youll be the first point of contact for prospective clients serving as the compassionate voice of our firm. Youll handle inbound calls screen and qualify potential cases schedule consultations with our attorneys and ensure every client feels supported from their very first interaction.

Youll also use systems like Clio Filevine Lawmatics Vonage and Google Calendar to manage cases and communications efficiently.
- Serve as the first point of contact for prospective clients answering inbound calls with empathy and professionalism and determining whether they meet our intake criteria
- Screen and qualify potential clients ensuring accurate data entry and documentation in the CRM
- Schedule consultations for the attorney confirming appointments with clients and attorneys and managing any follow-ups
- Process consultation payments accurately and efficiently
- Maintain and update intake tracking sheets and CRM records noting qualified vs. non-qualified leads reasons for disqualification missed calls and follow-ups
- Conduct follow-ups with potential clients who contacted the firm after hours or on weekends to maximize opportunities
- Perform general administrative tasks including managing spreadsheets writing emails scanning mailing and faxing
- Collaborate with the marketing team and attorneys to help grow prospective client relationships and maintain strong communication throughout the intake process
- Maintain a high level of professionalism and positive client experience at all times
Experience:
- 2 years in customer service legal intake reception or sales roles (experience with high-end or consultative sales preferred)
- Previous legal experience is highly valued
- Demonstrated ability to use a consultative approach to engage clients
Education & Skills:
- High school diploma or equivalent required; Bachelors degree preferred
- Proficient with CRMs (Lawmatics Clio Filivine) and reporting
- Familiarity with case management systems spreadsheets and general office software (Google Workspace email data entry)
- Strong organizational skills and attention to detail
Professional Qualities:
- Exceptional phone etiquette and client service skills
- Empathetic professional and able to maintain composure under pressure
- Ability to manage multiple priorities follow procedures and stay organized
- Positive attitude and collaborative mindset
