About the role...

Were seeking a Creative Operations Coordinator for a 6 month temporary assignment to ensure the smooth day-to-day functioning of our in-house creative team. This role is central to how creative work flows through the organization from intake to delivery and will help optimize how our team plans prioritizes and deploys creative resources.

The ideal candidate is a highly organized problem solver who understands the needs of creative teams has a knack for building systems and is excited about supporting a mission-driven organization in nonprofit education and travel. Over time this person may also have the opportunity to grow into a subject-matter expert in asset taxonomy and content curation becoming a resource for cross-channel campaign planning and maximizing the reuse of creative assets.

Road Scholar offers a remote work environment. This is a temporary 6 month assignment with the possibility for regular status employment. The compensation range for this non-exempt/hourly position is $23.00 to $25.00 per hour based on experience. Benefits are not offered for this temporary assignment. This role is Monday - Friday 40 hours per week.

In this role you will provide...

Resource Planning & Freelance Support

  • Support creative freelancer contracting onboarding and invoice tracking.
  • Schedule video pre-production meetings and organize deliverable requirements for photographers/videographers.
  • Research permissions and limitations ahead of photoshoots (i.e. permissions in public or private spaces drone permissions etc) and provide documentation for safe passage for photographers to do their thing.
  • Partner with creative leadership team to balance workloads across channels.

Digital Asset Management & Metadata:

  • Apply and maintain consistent metadata and taxonomy for digital assets including photo video and final artwork in our DAMs (Bynder Iconik Opti CMP Library)
  • Ensure assets are searchable rights-cleared and optimized for future reuse.
  • Support ongoing asset governance and archiving processes.
  • Conduct monthly audit on Opti workflows and provide metadata suggestions / guidance to marketing managers to improve efficiency and reporting.

Project & Workflow Management:

  • Manage the flow of incoming Opti CMP Creative Request tracking them from intake to completion.
  • Maintain and improve workflows between creative and internal departments.
  • Anticipate bottlenecks and help resolve conflicts in timelines resources or priorities.

Creative Ops & Team Enablement:

  • Keep project management tools (e.g. JIRA Opti CMP) accurate and up to date.
  • Document and refine best practices templates and operational standards for the design team.

Cross-Functional Collaboration:

  • Serve as a connector between design and other ensuring creative deliverables align with organizational goals.
  • Act as a central point of contact for project status and team capacity updates.
  • Evolve into a subject-matter expert in asset taxonomy and become a resource for cross-channel content curation and campaign planning.

Were seeking...

  • Bachelors degree preferred or related work experience.
  • 24 years of experience in creative operations project coordination or traffic management (in-house or agency).
  • Familiarity with creative workflows production processes and design team needs.
  • Experience with project management systems (JIRA Opti One / CMP Trello or equivalent).
  • Comfort working with digital asset management systems and metadata standards (Bynder Opti CMP Iconik a plus).
  • Strong organizational communication and problem-solving skills.
  • Interest in or experience with nonprofits education or travel industries.
