Your Responsibilities
This position combines responsibilities from both student services and program the role you act as the key liaison between students faculty and other university offices KLU (in Hamburg and Saigon) as well as our university partner Ho Chi Minh City University of Technology (HCMUT).

Student Services:
- Overseeing student support services: Responsible for coordinating and supervising all aspects of student support to ensure a smooth and positive study experience. This includes:
- Events and activities organization: Plan and manage student events excursions workshops and extracurricular activities that foster community engagement.
- Student guidance and welfare: Serve as the first point of contact for students seeking general support advice or referrals to other services.
- International student support: Assist with visa documentation accommodation guidance and orientation for incoming foreign students.
- Managing student helpers and freelancers: Recruit train and supervise student assistants or temporary staff to support events logistics and administrative tasks.
Program Management:
- Class management:Overseeing schedules classes and syllabi in close collaboration with lecturers (from KLU Hamburg and HCMUT) and students through CRM and Learning Management Systems in close collaboration with Program Directors and Program Management units (KLU Hamburg & HCMUT)
- Classroom logistics:Coordinating classroom operations including technical and facility needs to ensure all on-site online and hybrid teaching requirements are met
- Faculty & guest lecturer support:Organizing teaching and guest speaker arrangements while serving as the primary contact for all faculty-related matters.
- Quality Assurance:Conducting class evaluations and analyzing program data and processes to enhance efficiency and the overall student experience
- Exam coordination: Collaborating with lecturers Program Directors and the Registrars Office (Hamburg) to ensure proper scheduling supervision and grade entry
General:
- Communication and information management:Ensuring clear and consistent communication between students faculty and administrative departments in Hamburg and Ho Chi Minh City (KLU HCMUT)
- Information and documentation management:Managing CRM and Learning Management System (LMS) data maintaining program documentation and reports
- Financial oversight:Estimating and forecasting program and student service needs while aligning financial and operational resources accordingly
Your qualifications
In this role you serve as the key liaison between students faculty and university offices at KLU (in Hamburg and Saigon) as well as our partner institution Ho Chi Minh City University of Technology (HCMUT).

- Strong communication and interpersonal skills: Essential for engaging effectively with students parents faculty and colleagues
- Customer service orientation: Ensuring that students and faculty receive timely professional and solution-oriented support
- Detail-Oriented & Organized: You are skilled in managing multiple tasks and timelines with accuracy and follow-through
- Event & Operations Management: You have experience in planning and executing events or managing logistics in an academic or corporate setting
- Adaptability and flexibility: Comfortable responding to changing academic schedules and last-minute adjustments
- Team collaboration: Working effectively with academic and administrative teams across locations to ensure smooth operations
- Digital Savvy: Youre comfortable with digital tools and platforms (e.g. CRM learning management systems Excel/Google Sheets etc.)
- Language Skills: Excellent English and Vietnamese language skills
- Vietnamese Work Permit: You must have the right to work in Vietnam
