POSITION SUMMARY:

As an integral member of Cencoras Global Compliance Monitoring team the Compliance Program Coordinator plays a vital role in supporting the operational and administrative functions of the companys compliance program. This position serves as the administrator and power user for compliance case management systems ensuring end to end case intake triage documentation quality and SLA performance.

The Compliance Program Coordinator serves as a key liaison to Compliance Officers and cross-functional stakeholders driving issue resolution standardizing processes and improving controls Additionally this role is responsible for administering compliance systems ensuring data accuracy and facilitating effective communication across the compliance function.

Reporting into the Global Compliance Monitoring leadership the Compliance Program Coordinator contributes to the Office of Compliances efforts to monitor adherence to the companys Code of Conduct compliance policies and applicable laws and regulations. The ideal candidate will bring a detail-oriented mindset proactive problem-solving skills and a passion for fostering a culture of compliance and integrity.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Case Management & Monitoring:
    • Own day to day operations for assigned case types including Conflicts of Interest and Global Interactions (Business Gratuities & Sponsorships).
    • Perform initial triage and route/escalate matters to Compliance Officers or appropriate stakeholders based on defined criteria.
    • Ensure case files contain complete and accurate information and are addressed or resolved in a timely manner.
    • Identify and document exceptions and potential policy deviations identified from compliance monitoring processes into Navex or other compliance systems.
    • Maintain a clear record of decisions rationale and communications to support case outcomes.
  • Stakeholder Communication:
    • Communicate effectively with Compliance Officers internal stakeholders and cross-functional teams to ensure alignment on compliance initiatives.
    • Ability to collaborate with diverse teams and across multiple time zones
    • Serve as a point of contact for inquiries escalations and system-related issues.
  • Policy Application & Analysis:
    • Gain a deep understanding of Cencoras Compliance policies and apply critical thinking to correlate casework with policy requirements.
    • Participate in brainstorming sessions and creation of ad-hoc/continuous monitoring reports to support compliance special projects and ongoing monitoring efforts.

    • Participate in training programs seminars or certifications to enhance skills and contribute to the overall effectiveness of the compliance program.

  • System Administration & Data Management:
    • Serve as a system administrator/power user for compliance platforms (e.g. Navex) includinguser access management workflow configuration support queue management and troubleshooting.
    • Maintain data quality standards (validation checks completeness taxonomy/categorization consistency) to ensure reliable reporting and program oversight.
    • Partner with Compliance IT and vendor support as needed to resolve system issues implement enhancements and improve user experience
  • Team Collaboration & Support:
    • Provide backup support to other compliance coordinator team member during PTO or emergency situations to maintain continuity of operations.
    • Contribute to a collaborative team environment by managing multiple projects simultaneously and adapting to changing priorities.
    • Provide essential support to the monitoring team in conducting deep-dive analyses of focused and targeted compliance areas working closely with the Manager and Lead Analyst. While not directly responsible for performing full-scale analytics this role contributes to the teams efforts by facilitating program reviews that evaluate effectiveness identify potential compliance gaps and ensure alignment with applicable policies and procedures.
  • Governance & Documentation:
    • Maintain and improve standard operating procedures (SOPs) job aids and process documentation for assigned monitoring workflows.
    • Support audit and inquiry readiness by ensuring evidence is organized complete and retrievable; assist with internal reviews issue validation and response preparation.
    • Handle sensitive information with discretion and ensure appropriate confidentiality and records management practices are followed.

EXPERIENCE AND EDUCATIONAL REQUIREMENTS:

  • Minimum of3 years of administrative or case coordination experience preferably in Compliance Legal or a regulated industry (e.g. pharmaceutical healthcare or financial services).
  • High school diploma or equivalent is required. Additional certifications or courseword in healthcare healthcare compliance or legal studies are a plus but not required.
  • Experience with compliance systems such as Navex Archer PowerDMS or other case management platforms is highly preferred.

MINIMUM SKILLS KNOWLEDGE AND ABILITY REQUIREMENTS:

  • Strong written and verbal communication skills; capable of communicating clearly with senior stakeholders and cross-functional partners
  • Strong people skills with the ability to build relationships across departments.
  • Proactive problem-solving skills and the ability to manage multiple priorities effectively.
  • Strong attention to detail organization and time management skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Enjoys the challenge of balancing competing priorities and achieving deadlines.
  • Proficient in Microsoft Office Suite (Excel Word Outlook Teams) and SmartSheet
  • Familiarity with Power BI or Tableau or other data visualization platforms to support reporting and monitoring
  • Strong data entry reporting critical thinking and analytical skills.
  • Ability to quickly learn and navigate compliance software systems.
  • Familiarity with compliance concepts practices and procedures especially in regulated industries.
  • Understanding of corporate governance ethics and compliance frameworks.
