Overview:
Be the Principals force multiplier by managing calendars communications and follow-through across Metro and ULTRAFi. Translate direction into actionable plans and ensure initiatives stay on track in a fast-paced high-traffic environment. Support ULTRAFi operations (25% of role) and maintain systems dashboards and SOPs that create visibility momentum and alignment.
Schedule:
In-office MondayFriday 8:30 a.m.5:30/6:00 p.m. with flexibility for extended hours or occasional weekends
What Youll Do:
Manage the Principals calendar meetings communications and correspondence with clarity and professionalism; drafting in the Principals tone.
Capture meetings publish action items and drive every follow-up to closureno dropped balls.
Maintain weekly dashboards and visible progress trackers; anticipate needs and resolve issues early.
Translate verbal direction into actionable plans track multiple initiatives and ensure follow-through on deadlines.
Collaborate cross-functionally with confident friendly presence; protect focus blocks for high-leverage work.
Support ULTRAFi operations including contracts billing coordination research and process organization.
Build and maintain SOPs dashboards and light automations to improve efficiency and visibility.
Own meeting prep logistics notes and follow-ups to keep teams on schedule.
Collaborate with cross-functional teams anticipate needs proactively resolve issues and maintain confidentiality.
Leverage technology and productivity tools to streamline workflows; flexible to support occasional after-hours or remote tasks.

5 years of experience in executive support administration or operations roles.
