Description

The Texas Tribune the states go-to source for Texas politics and public policy news is hiring a full-time Executive Assistant to provide administrative support for the Chief Executive Officer and Editor-in-Chief. The Executive Assistant will play a critical role in supporting organizational leadership in various areas including administrative oversight scheduling management and meeting planning.


The Tribune is an established nonprofit nonpartisan leader in digital-first journalism devoted to informing and engaging Texans through in-depth investigations and explanatory guides as well as rigorous enterprise breaking news and beat reporting informed by data. More recently the Tribune has focused on strengthening news ecosystems across the state. This strategy involves creating collaborating with or merging with local community-based newsrooms to empower more Texans build trust and inform residents more deeply about their communities.


In support of our mission the Executive Assistant ensures the CEO and Editor-in-Chief are working efficiently and productively by managing and prioritizing their calendars and acting as the primary point of contact for the board of directors donors and other stakeholders. The person in this role assures smooth daily operations by planning for and anticipating immediate and long-term needs including travel and event planning; drafting proofreading and managing communications; handling board logistics; and managing routine reports and other details.


This is an important role and one that requires tremendous trust. The ideal candidate for this position is a detail-oriented and organized problem solver. They are highly professional cool under pressure and can be trusted to make solid judgment calls as needed.


This position reports to the CEO and works closely with the Editor-in-Chief as well as other members of the executive team.


Salary will vary according to experience; the minimum is $68000.


Responsibilities

  • Manage calendars for the CEO and Editor-in-Chief using Googles calendar platform to coordinate schedules with internal and external parties.
  • Help to ensure that top priorities receive an appropriate level of focus and subsequent implementation and be prepared to shift plans as priorities change.
  • Draft and edit high-level correspondence and memoranda; proofread and revise documents as the CEO requests.
  • Maintain continuous lines of communication keeping the CEO and Editor-in-Chief informed on all critical and time-sensitive issues.
  • Disseminate information on behalf of the CEO and Editor-in-Chief and respond to issues that arise both internal and external.
  • Ensure that the CEO is fully briefed and prepared for meetings and events.
  • Debrief the CEO on the content of internal meetings outcomes and action items as necessary.
  • Make travel arrangements and manage expense reports as needed for the CEO and the Editor-in-Chief including flights rental cars and hotels.
  • In partnership with the CEO Editor-in-Chief and other members of the Tribunes executive team assist in preparing presentations and reports as needed.
  • Maintains board records and ensures compliance with nonprofit governance requirements (e.g. bylaws conflict-of-interest forms board rosters and annual disclosures).
  • Serves as liaison between the CEO board members and senior leadership to facilitate communication and follow-up on action items.
  • Coordinates logistics and materials for board and committee meetings including scheduling preparing agendas compiling packets distributing materials and taking and maintaining official minutes.
  • Securely and responsibly handles sensitive information.

Qualifications

  • Bachelors degree and four or more years of experience in a similar role or equivalent combination of education and relevant experience
  • Impeccable organizational habits
  • Excellent writing and proofreading abilities
  • Strong communication and presentation skills
  • Collaborative and flexible work style; adaptable to change
  • A strong interest in the mission of The Texas Tribune
  • Extremely proficient with Microsoft Office Suite and Google Suite and with the ability to learn new or updated software
  • Excellent time management skills and a proven ability to meet deadlines with a commitment to quality
  • Professionalism acting and treating others with respect and dignity
  • Ability to function well in a high-paced and at times stressful environment
  • Experience working for a nonprofit and/or branch of government is a plus.

Location

The Texas Tribune headquarters is located in downtown Austin steps away from the Texas Capitol building. This position is based in our Austin office with flexibility for occasional remote work.
