The Proposal Assistant supports the entire proposal process from retrieving and organizing RFP documents to ensuring accurate timely submissions. Key responsibilities include managing electronic and hardcopy files coordinating with internal teams and handling legal requirements. The role also involves scheduling meetings recording minutes and safeguarding confidential information. Through strong organization and collaboration the Proposal Assistant ensures smooth and efficient proposal preparation and delivery.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Access and retrieve RFP documents via email and customer FTP sites
Assemble RFP documents into a combined PDF for reference during the proposal process
Maintain and update RFP information throughout the proposal process
Create and maintain network and email directories for proposals
Review and electronically file job emails and correspondence
Create and maintain electronic and hardcopy bid binders
Assemble hardcopies of proposal requests
Assist proposal team members with electronic file sharing to subcontractors and vendors
Maintains information in Unanet
Review RFPs for special instructions regarding content and submittal requirements
Collaborate with Estimators and Proposal Managers to complete bid forms
Submit proposals electronically to customer FTP sites and ship hard copies via FedEx
Handle requests to the legal department for certificates of insurance builders risk and bonds
Ensure required documents are notarized when applicable
Review and incorporate comments and markups to agreements when applicable
Protect and maintain confidentiality of sensitive information
Schedule and set up meetings; attend and record meeting minutes
Carry out additional responsibilities as requested by the Manager of Proposal Management
Interface with multiple departments within Beta Engineering and Crest Industries
Run errands as needed

EDUCATION AND EXPERIENCE:
Highschool diploma required. Associates degree preferred.
2-4 years of practical experience preferred.
Strong knowledge of Microsoft Excel Word and Outlook is required.
Knowledge of Adobe Acrobat Visio and PowerPoint is preferred.
General knowledge of Microsoft Access is preferred but not required.
WORK ENVIRONMENT:
Will work in an office environment with minimal exposure to dust noise and other environmental hazards. May involve prolonged periods of sitting and frequent use of a computer keyboard and mouse.
Able to lift 50 pounds
Use of company vehicle on occasion. A successful Motor Vehicle Report (MVR) is required.
