Description

This position is responsible for providing routine assistance and administrative support to the department chair and department. Additional responsibilities include acting as a receptionist and liaison to visitors and potential program/project participants. This position provides administrative support to a large department including faculty staff and adjunct instructors.

Essential Job Duties

  • Responsible for all office correspondence including answering/responding to phone calls voicemails emails faxes memos letters and greeting guests/students that come into the office;
  • Build maintain and update schedule of classes each term including working with the chair(s) to schedule classes considering faculty loads classroom availability course sequence and coordination with the catalog;
  • Generate multiple forms in both electronic and paper formats for:
    • Faculty course load sheets as well as workload sheets such as overload release time and independent study;
    • Employment forms for adjuncts;
    • Forms related to budget book orders budget transfers budget requests requests to hire and travel reimbursements;
    • Financial forms such as work orders requisitions purchase orders etc.;
  • Hire train and supervise work-study students;
  • Verify and obtain health documentation and licensing information for nursing faculty;
  • Receive sort and disperse office mail;
  • Maintain calendars of appointments and important dates;
  • Maintain inventory of office supplies and places orders as needed;
  • Process catalog and curriculum changes;
  • Assign students to departmental advisors maintain student files release advisor holds enter registration permits as needed and provide PIN numbers;
  • Assist with accreditation documentation;
  • Utilize computerized database and tracking systems;
  • Complete minutes for designated departmental committees;
  • Maintain classroom and computer lab schedules;
  • Maintain clinical supervisor onboarding and clinical compliance requirements;
  • Provide support for clinical supervisor training sessions;
  • Contribute to departmental operations by maintaining supervisor records processing mileage submissions and coordinating event logistics;
  • Assist department chair with budget planning oversight and tracking departmental expenditures;
  • Create and maintain detailed financial spreadsheets for tracking purposes;
  • Reconcile receipts and financial records;
  • Assist with hiring workflow forms;
  • Assist professional staff on special projects upon request;
  • Serve as the receptionist and liaison to all that enter the building;
  • Perform all other duties as assigned.

Minimum Qualifications

  • High school diploma/equivalent required;
  • Bachelors degree is preferred;
  • Two years of related experience required.
