Job Summary

The Registrar is responsible for managing administrative and clerical functions within a healthcare setting to support patient-focused care. This includes patient registration insurance verification maintaining accurate demographic and financial records and assisting with front-desk operations. The role also requires experience in birth registration processes and documentation in accordance with hospital and state regulations.

Essential Duties and Responsibilities

  • Greet and direct patients visitors and staff courteously and professionally.

  • Answer phones take messages and ensure prompt follow-up.

  • Collect and distribute patient referral information.

  • Escort visitors and patients to designated areas and provide necessary assistance.

  • Promote a culturally sensitive and inclusive environment.

  • Distribute departmental materials such as brochures patient rights and health care proxies.

  • Register patients by entering or updating demographic financial and emergency contact information.

  • Verify patient insurance and demographic details accurately.

  • Prepare and maintain patient charts ensuring completeness and accuracy.

  • Review discharged patient charts for required documentation and signatures.

  • Process and label laboratory specimens following established procedures.

  • Maintain patient files recall logs and other administrative records.

  • Obtain patient consent signatures for forms and registration.

  • Schedule clinic appointments and coordinate related administrative activities.

  • Perform birth registration duties accurately and in compliance with regulations.

  • Support other administrative tasks as assigned.

Shared Department Responsibilities

  • Greet and assist visitors and respond to inquiries in a professional manner.

  • Answer communication systems and direct messages to the appropriate staff.

  • Maintain a clean safe and organized workspace; report maintenance or equipment issues promptly.

  • Assist with patient transport when necessary.

  • Provide interpretation or language assistance when required by policy.

Skills and Qualifications

  • 69 months of healthcare or hospital experience preferred.

  • Experience in birth registration required.

  • Excellent interpersonal and communication skills.

  • Strong attention to detail organizational and problem-solving abilities.

  • Ability to multitask in a fast-paced healthcare environment.

  • Basic computer literacy and keyboarding skills.

  • Ability to handle confidential information with professionalism.

  • Fluent verbal and written communication skills in English.

Education

  • High School Diploma or GED required.
