TITLE: SECRETARY TO THE DIRECTOR OF KIDS CLUB
QUALIFICATIONS: To perform this job successfully an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge skill and/or ability required. Education and/or Experience: High school diploma. Minimum of one year of business office experience and/or training. Skills using data management systems and keyboarding proficiency of a minimum of 50 words per minute required.
Interpersonal Skills: Possesses ability to handle multiple tasks simultaneously. Demonstrates excellent interpersonal and communication skills. Demonstrates ability to communicate with staff children and community members in a professional respectful manner. Demonstrates ability to promote a positive team work environment.
Language Skills: Ability to read and interpret documents. Ability to write routine reports and correspondence. Ability to communicate effectively in English both written and oral.
Mathematical Skills: Ability to calculate figures and amounts such as discounts interest and percentages. Ability to aggregate and interpret data.
Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

REPORTS TO: Director of Kids Club
JOB GOAL: To enhance the effectiveness of the Kids Club program by coordinating and performing business office functions.
CONDITIONS OF EMPLOYMENT:
Twelve-month position with salary and conditions of employment in compliance with the agreement
between the Woodstock School Related Personal Local 1642 IFT/AFT and the Board of Education.
PERFORMANCE RESPONSIBILITIES:
- Demonstrates professionalism as first contact for clients and phone calls.
- Processes client registration information for enrollment and services in Kids Club.
- Performs bookkeeping tasks related to all revenue expenditure and ordering supplies.
- Orders supplies.
- Fulfills secretarial tasks related to the responsibility of the Director of Kids Club.
- Arranges for substitute Kids Club personnel as necessary.
- Assists in professional development training on business software.
- Responsible for processing all client account functions including: billing reporting collections and sharing clients responsibilities.
- Processes subsidized fees and fee structure for families who qualify as low-income.
- Aggregates necessary data interprets and reports data to meet the requests of clients and the Director of Kids Club.
- Identifies when within a system improvements should be made and collaborates with the Director of Kids Club to design action plans for enhancement.
- Responds to all billing and software issues with resolution.
- Protects the confidentiality of district office and client records and information according to Board of Education policy and regulation Illinois Student Records Act and the Family Education and Privacy Act.
- Will work as Kids Club Associate substitute when needed.
- Performs other tasks as assigned by the Director of Kids Club or designee.
