Job Summary

Job Description:
A Purchasing Assistant isresponsible for supporting the procurement process by handling administrative tasks monitoring inventory and communicating with vendors to ensure the company acquires necessary goods and services at the best possible prices. Key duties include processing purchase orders tracking shipments maintaining supplier relationships negotiating prices and ensuring accurate records.
Key responsibilities
  • Order processing:Creating processing and tracking purchase orders and ensuring orders are accurate and delivered on time.
  • Inventory management:Monitoring stock levels to prevent shortages or overstock and coordinating with relevant departments to forecast needs.
  • Vendor relations:Researching and identifying potential new vendors obtaining quotes and maintaining positive relationships with existing suppliers.
  • Negotiation and cost management:Comparing vendor offers negotiating prices to secure the best terms and identifying cost-saving opportunities.
  • Administrative support:Handling administrative tasks for the purchasing department such as updating records preparing reports and managing purchase agreements.
  • Problem resolution:Addressing discrepancies in shipments resolving issues with delayed or incorrect deliveries and liaising with warehouse staff.
Essential skills and qualifications
  • Technical skills:Proficiency in MS Office and purchasing software.
  • Interpersonal skills:Strong communication negotiation and organizational skills are crucial for interacting with vendors and internal teams.
  • Analytical skills:The ability to analyze market trends evaluate vendor offers and manage multiple tasks is important.
