The Womens Center (TWC) is a domestic violence and sexual assault service provider committed to helping survivors (women men youth gender non-conforming folks) of Massachusetts Southcoast on their journey to safety hope and empowerment. We provide trauma-informed client-centered support and advocacy to individuals and families affected by abuse.

Position Summary
The Administrative Specialist is often the first point of contact for clients and visitors. This key team member plays a vital role in fostering a trauma-informed welcoming and safe environment for all who walk through our doors or call for support. Youll handle incoming calls assist walk-ins and ensure smooth communication between clients and internal teams. This role requires exceptional discretion empathy organizational skills and the ability to remain calm and responsive in emotionally sensitive situations.
This is a full-time (40 hours per week) non-exempt position based in New Bedford MA and is fully in-person with hours Monday through Friday 8:30 a.m. to 5:30 p.m. This position reports to the Counseling and Advocacy Manager.
Key Responsibilities
Client Interaction & Front Desk Support
- Create a warm trauma-informed and welcoming experience for clients both in person and over the phone.
- Greet walk-in clients and visitors with empathy professionalism and respect.
- Handle all incoming calls; triage and direct inquiries to the appropriate staff or resource.
Coordination & Communication
- Work closely with the Counseling and Advocacy Manager and team to connect clients to appropriate internal or external resources.
- Serve as a trusted and professional liaison relaying confidential information and client needs to staff discreetly and accurately.
- Provide timely accurate information about TWCs services programs and procedures to clients callers and the community.
Administrative & Operational Support
- Respond graciously to donation drop-offs working with team members to identify needs and organize items.
- Organize and manage inventory of office supplies to ensure efficiency and readiness.
- Maintain client and organizational confidentiality at all times in compliance with agency policy and ethical standards.
- Support the leadership team with additional administrative duties.
Qualifications
- Bilingual in Spanish and English.
- Prior experience in an administrative front desk or client service role required-preferably in a nonprofit advocacy or human services setting.
- Excellent interpersonal and communication skills with the ability to remain calm and professional under pressure.
- Demonstrated ability to handle confidential information with a high level of discretion and integrity.
- Strong organizational skills and attention to detail.
- Cultural humility and a trauma-informed approach to all client and staff interactions.
- Proficient in Microsoft Office Suite and general office technology.
Preferred
- Associates degree in related field.
- Three years administrative experience in a client-focused office environment.
- Experience working with survivors of domestic violence sexual assault or trauma.
