Summary:
We are seeking a detail-oriented and organized Office Clerk to join our dynamic team within the insurance industry. This role is critical to ensuring the smooth daily operations of our administrative functions supporting underwriters claims adjusters and customer service teams through accurate data management document processing and efficient communication. The Office Clerk will serve as a key liaison between departments maintaining confidentiality and compliance with industry regulations. By managing incoming and outgoing correspondence maintaining records and supporting workflow efficiency this individual will play a vital role in enhancing client service and operational accuracy. Responsibilities:
- Receive sort and distribute incoming mail emails and electronic documents in a timely and secure manner.
- Maintain and update digital and physical filing systems for client records claims documentation and policy information in compliance with data privacy regulations.
- Prepare proofread and process routine correspondence forms and reports using office automation tools.
- Assist in the preparation and verification of insurance policy documents endorsements and renewal notices.
- Support claims processing by organizing and tracking claim files ensuring all required documentation is complete and filed appropriately.
- Respond to internal and external inquiries with professionalism accuracy and timeliness.
- Coordinate with department heads to schedule meetings manage calendars and prepare meeting materials.
- Handle basic bookkeeping tasks such as processing invoices tracking expenses and maintaining petty cash logs.
- Ensure office supplies and equipment are stocked and functioning properly; escalate maintenance needs promptly.

- High school diploma or equivalent; associate degree in Business Administration or related field preferred.
- Proficient in Microsoft Office Suite (Word Excel Outlook) Google Workspace and document management systems.
- Strong organizational and time management skills with the ability to prioritize tasks in a fast-paced environment.
- Excellent written and verbal communication skills with attention to detail and accuracy.
- Ability to handle sensitive information with discretion and maintain strict confidentiality.
- Familiarity with insurance terminology policy administration and claims processing workflows is highly advantageous.
- Reliable proactive and capable of working independently as well as collaboratively within a team.
