The role holder will provide administrative and coordination support to the Professional & Organisational Development (POD) function during the maternity cover period. This role will ensure the continuity of training development and induction activities while assisting in maintaining accurate training records reports and compliance requirements.
The role holder will work closely with the Human Resources team and the Edinburgh Professional & Organisational Development team who will provide information and ongoing support regarding the Universitys policies and processes. This position reports to the Head of Human Resources.
Key Duties and Responsibilities
- Coordinate and administer staff training programmes including enrolments scheduling attendance tracking and feedback collection.
Support the preparation and communication of the Universitys training calendar including promoting available training sessions to staff.
Maintain and update all staff Continuous Professional Development (CPD) hours records on a regular and timely basis using the Oracle Learning and Development module. - Prepare monthly reports on training-related information. Regularly monitor track and communicate with managers to advise and administer staff development progress including training hours conferences attended etc.
- Manage training fund applications through the Human Resources Development (HRD) Corporation and report on their utilisation status on a monthly basis.
- Support managers and staff with training and development needs including collating requirements from bi-annual reviews and sourcing providers for training courses where necessary. This role will also support staff members who wish to apply for external training or conferences.
- Manage the induction and onboarding process for new staff. Support the first-day experience including a campus tour an introduction to the Universitys culture the
- E-Induction programme and completion of mandatory modules.
- Manage the Universitys internship programme including but not limited to schedule planning and coordination with peer institutions payment of monthly allowances and monitoring of intern progress.
- Provide general administrative support to the Professional & Organisational Development function as required to ensure smooth operations during the maternity cover period.

Essential
- Diploma or Degree in Human Resources Business Administration or a related field
- 2 years or more experience of providing professional level generalist HR/Development support in a wide range of HR functions
- Familiar with inputting data into HR databases. Experience of creating reports from databases which can be easily understood by managers.
- Fluent (verbal and written) in English and another language e.g. Bahasa Malaysia
- Strong knowledge of Human Resources Development Corporation
- Good interpersonal skills; able to establish and maintain good working relationships with a wide range of people and acts as a point of reference.
- Strong service ethos
- Accurate with attention to detail
- Excellent computing skills including Office 365 suite with capability to support basic digital skills enhancement
- Excellent organisational skills on a daily weekly or monthly basis able to meet deadlines and manage conflicting demands on time
Desirable
- Familiar with Oracle HCM suite in particular Learning Talent Succession and Performance
- Some understanding of higher education environment
- Working knowledge of HRD Corporation and its latest development.
- Experience of working as part of small or remote team
