Special Education Administrative Assistant
DESCRIPTION: The holder of this position will act as a primary administrative/secretarial resource in support of the Department of Special Education. The Administrative Assistant works as secretary to the Director of Special Education and coordinates communications between administrators District and site personnel parents students and the general public. Develop and maintain efficient office management techniques and ensure that the Districts daily and long term administrative requirements are met.
Required Education/Experience:
- High School diploma or equivalent.
- Excellent secretarial skills including expertise Google Suite
- Excellent verbal and written communication skills.
- A high degree of organizational skills.
- Ability to prioritize and handle diverse tasks.
- Ability to work independently and as part of a team as circumstances require.
- Ability to take the initiative exercise sound judgment and make decisions within scope of his/her authority.
- Ability to relate in a positive manner with members of the public parents staff and students.
- Maintain a high level of confidentiality.
- Experience working in a school office environment.
- Ability to relate to younger students and use discretion in dealing with them.
ESSENTIAL DUTIES:
- Provide administrative/secretarial support to Administrators as assigned
- Provide information over the phone or in person to parents students and school personnel as appropriate; route calls to appropriate personnel as necessary
- Maintain and update student records
- Compile attendance reports and/or computerized programs as directed both students and staff
- Maintain accurate and up to date permanent records as directed.
- Present a pleasant helpful attitude toward staff students parents and visitors
- Screen visitors upon entry
- Manage administrators calendars schedule appointments meetings and notify all parties involved
- Receive and distribute mail daily
- Learn apply and explain school and District policies rules and objectives
- Utilize various computer software programs including ASPEN and Google Drive applications for District and school functions
- Compile and maintain an inventory of supplies and equipment as directed
- Receive and appropriately dispense supplies and compile records of such
- Must adhere to required deadlines
- Read and interpret instructions from teachers and administrators
- Set up and monitor transportation for all in district and out of district students
- Daily communication with the transportation company schools and parents regarding busyarrival/departure times and all other issues that may arise
- Maintain transportation spreadsheets to be used for tracking students daily andend of the year reporting
- Maintain transportation complaint log with all incident reports and phone calls
- Provide in-district detail for monthly billing and reconcile monthly bill
- Compile ESY spreadsheet from teacher referrals
- Type copy mail and track ESY applications to all referred students
- Type and maintain rosters once classrooms have been assigned
- Set up file with payroll information rosters and any other information necessary for EPS student aides
- Type and send referrals for all students needing vision services
- Coordinate all referrals and equipment with our Audiologist and our Teacher of the Deaf.
- Maintain a list of all students who require these services as well as distribute and trackall hearing equipment
- Input student attendance for all out of district students
- Maintain student files for all students including initiating paperwork for all new students
- Administrative support/liaison to Out of District Assistant Director
- Maintain circuit breaker files and tuition spreadsheet in order to assist Director whenfiling for circuit breaker funding
- Other duties as deemed necessary by the Director of Special Education and the District.
Salary:
Salary for this position will be based on the ETA Collective Bargaining Agreement-Unit C Administrative Assistants SY 25-26 - Pay Range - $63947.68- $74017.31.
