What you will do:
Responsibilities include but are not limitedtoassistingtheConstruction Managers and Project Managers with coordination/ documentation ordering of equipment for Install base projects including day-to-day general office duties as assigned for firealarmsuppressionandsprinkler.


How you will do it:

  • Operations Administrative Support uploading and Maintaining Projects and Contracts via Job Design/ BBI

  • Monitor status of small projects (fire alarm suppression sprinkler)

  • Communicate with customers and sale reps as to when material and/or labor isrequired.

  • Ensure that required engineering is performed to meetcustomerexpectations.

  • Coordinate with TIS supervisor and/or construction manager customerslaborrequirements.

  • Order equipment ensure that customer receives materialwhenneeded.

  • Report to department managers project status.

  • Processchangeordersreleasing equipment filing Certificate of Insurance Warranty Letters

  • Billing of projects; compiling back-ups such as Certified Payroll work tickets etc.

  • Handling customer/ contract disputes as needed.

  • Coordinate delivery of equipment to the jobsite

  • Coordinate delivery ofclose-outdocuments

  • Creation of purchase orders for subcontractors

  • Procurement and verification of project schedules

  • Attend work inprogressmeetings.

  • Tracking of project RFIs change orders and otherpertinentdocumentation.

  • Coordination/ Follow Ups with SalesTeamregardingprojectbookings; releasing of jobs from COE/ Credit holds etc.

  • Assist with Accounts Receivable (AR)

  • Act as the facilitator and point-person for information sharing between OTC District and select customers as directed byACSM

  • Support Dispute Resolution in resolving disputes when requested by the AR Collectors or the Dispute team.

  • Contact customers when identified as necessary as part of DMS or forverysimplereasons.

What we look for:
Required

  • Proficient in Microsoft Windows Word EXCEL Power Point

  • Knowledge of ACEOASys Job Cost Systems

  • Valid drivers license witha gooddrivingrecord

  • High School diploma or equivalent

  • Ability to multi-task and prioritize among assignments with a strong adherencetodeadlines.

  • Excellent verbal and written communication skills

  • Must be organized detail oriented andself-motivating.

  • Must Pass a pre-employment background check anddrugscreen

  • Positive Attitudea must

  • Punctual and Accountable

  • Experience dealing withcustomers

Preferred

  • AssociatesDegreepreferred

  • 3 to 5 years of related experience

  • Experience in a high-volume customer serviceoriented position

  • Electrical/ Construction industry experience ishelpful

HIRING HOURLY RANGE: $26.00 - $31.25 (Hourly rate to be determined by the education experience knowledge skills and abilities of the applicant internal equity and alignment with market data.)
