THE ROLE
The Assistant Venue Manager In Venue Hospitality (IVH) Event Production helps in the general coordination of the venue in conjunction with MICO and OLE FAs plus internal and external stakeholders. This role includes helping the implementation of processes to manage and coordinate all necessary resources to ensure at each Olympic session (and paralympic for venues concerned) efficient safe and high-quality both working conditions for the suppliers and above all services for every HSP guests.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES
Assist the Cluster Manager in the successful delivery of the On Location Hospitality program:
o Project Management:
Collaborate with the Venue Manager and follow up on venue specific action points.
Follow the project management (manage overall project milestones and timelines) to ensure smooth operations at the venue and high-quality MICO Olympic sessions organization according to OLE policies and procedures and MICO guidelines.
Make the team aware about the day-to-day both progresses and challenges;
o Production:
Create with the venue team on-site the conditions to deliver a unique HSP guests experience while ensuring good and productive working conditions for venue on-site staff; with some consistency from one session to another.
Support the hospitality coordination in a competition venue: briefs orders planning implementation of concepts...
Implement together with the production agency the IVH products respecting appropriate standard MICO guidelines and within the agreed budget.
Support on final preparations of the HSP spaces during the pre-set-up and set-up phase and ensuring the proper dismantling (including damage reporting) and hand back of the venue HSP spaces to the owner/operator/builder.
o Product:
Be attentive to the evolution of sales and be a force of proposal for the movements of inventories to be carried out.
Support the implementation of marketing actions.
o Partners / suppliers relations:
Collaborate successfully with service providers stadium operator/owner police emergency services and other relevant partners regarding HSP spaces.
Ensure that relevant partners/suppliers are in full compliance with their contractual obligations MICO requirements and agreed planning and deliverables.
o Process and Documentation:
Update and develop key operational documentation initiated by the cluster managers existing or upcoming tools policies & procedures.
o Training:
Support the development of the HSP venue management training program & content.
Train and lead the on-site HSP venue team in close cooperation with internal stakeholders.

o Budget: Update budget after each decision made having an impact on it.
o Debriefs and reports: Help to produce debriefs and final reports.
Managing the hospitality program during some sessions
Collaborate with the venue representatives and follow up on venue specific action points.
Be one of the representatives of the hospitality unit (led by OLE) in the global MICO venue business operations (VBO) department.
Support (in some cases lead) on-site working visits and other visits/tours leading up to the Olympic games.
Troubleshoot anticipate and act proactively on event aspects of role.
Other Duties & Responsibilities
Responsibilities include training venue staff; planning assigning and directing work; appraising performance; resolving problems alone or alongside On Location relevant management.

Essential Experience & Skills:
University degree or equivalent with a focus on event management.
Minimum of 3 years of relevant experience in a sports event organization and stadium or arena management
Experience in managing and producing large-scale complex projects especially in sports and in France.
Olympics Experience or similar large-scale project is a plus.
Speaks and writes fluent business Italian & English - other languages encouraged.
Proficient user of Microsoft Office Suite.
Knowledge of SharePoint Smartsheet Microsoft Teams Zoom Confluence Air Table
Highly organized and process oriented.

Presently resides and/or is willing to relocate in Paris France.
