Job Summary

Summary

Under the broad guidance of the Director the Assistant Director provides leadership oversight and compliance monitoring for Student Employment Services (SES). This position is responsible for operational management staff supervision policy enforcement and strategic initiatives that align with institutional goals. The Assistant Director ensures compliance with federal state and institutional regulations leads training and professional development efforts manages system functionality (NeoEd PeopleSoft Equifax) and advances the integration of NACE Career Competencies and Life Design into the student employment experience. The position also develops tests and refines queries and analytics to monitor compliance improve operational efficiency and inform data-driven decision-making related to student employment trends payroll accuracy and workforce engagement.

Essential Functions

Unit Operations & Leadership
  • The Assistant Director supports the daily operations of Student Employment Services and participates in unit and other operational meetings within the Kuhlin Career Hub events and both short- and long-term planning efforts. The position assists with daily operations and customer service needs while collaborating with University constituents to ensure quality employment-related services. The Assistant Director meets with students represents the unit and division at meetings and on projects and attends training and professional development opportunities.

  • The position serves in the absence of the Director when addition the Assistant Director coordinates staff assignments for university recruiting and informational events and programs such as Preview Day Presidents Day and Orientation and Registration.

  • The Assistant Director provides indirect supervision leadership and mentoring for the SES staff and student employees within the unit. Writes and maintains queries to support departmental reporting planning and decision-making needs. Acts as Assistant Director of the unit by leading initiatives that enhance operations compliance and student success.

Compliance Risk and Policy Oversight
  • The Assistant Director plays a critical role in safeguarding the University from legal financial and reputational risks by ensuring strict adherence to State and Federal regulations as it pertains to Student Employees. This responsibility extends to developing and implementing robust internal controls and audit processes that proactively identify and correct compliance gaps before they escalate into penalties or liabilities.

  • The Assistant Director collaborates closely with HR Payroll General Counsel and Financial Aid to interpret regulatory updates align policies and deliver institution-wide training that reinforces compliance addition this position oversees the documentation communication and enforcement of policies related to onboarding timekeeping and performance management ensuring that students and supervisors understand their obligations. The Assistant Director monitors potential risks tied to student employment practices evaluates consequences of non-compliance and recommends policy revisions or systemic improvements that both protect the institution and enhance operational integrity. By functioning as a campus-wide resource on compliance and employment risk the Assistant Director strengthens the Universitys ability to maintain its federal funding avoid costly violations and provide equitable and legally sound employment experiences for students.

System Data and Process Development
  • The Assistant Director leads the testing implementation and optimization of SES-related systems such as NeoEd PeopleSoft and OnBase and works in conjunction with HR on Equifax. They partner with ITS to ensure integration of compliance and hiring processes while also developing workflow documentation training resources and user guides for stakeholders.

  • The Assistant Director writes and maintains queries to extract analyze and report student employment and compliance data with particular attention to outcomes such as retention GPA graduation rates and student success measures. They develop reporting dashboards and data visualizations to help institutional leaders supervisors and stakeholders understand the impact of student employment on persistence and academic performance.

  • This role also identifies and recommends system enhancements to improve efficiency accuracy and usability while ensuring that student employment data contributes to institutional research accreditation and decision-making related to student success and workforce readiness.

Training Development and Outreach
  • The Assistant Director designs and delivers professional development programs for supervisors and student employees. They create training materials that integrate NACE Competencies and Life Design frameworks partner with Career Design Coaches and faculty/staff to align student employment with career readiness.

Minimum Qualifications

The following Degree is required:

  • Bachelors degree required. Successful candidate must have degree conferred at the time of application.
The following Degree is preferred:
  • Bachelors degree in Business Management Human Resources or Public Administration
The following Experience is required:
  • 3 years experience working with student employees and training individuals using a career management system.
