Please Note:Expected work hours are 8:00 a.m. to 4:30 p.m. Thursday through Monday. Occasional evening work may be required. Incumbent may be required to work overtime shifts and travel to and from medical appointments and/or attend recreational activities for residents.
*This position has been posted within the assigned pay range through Step L. Step M has not been published as this is considered the longevity step in alignment with state HR compensation rules.
Updated as of July 1 2025: This position is eligible for Supplement Basic Shift Premium for 24/7 Facilities. Employees who are assigned to a facility that provides direct care to residents patients and/or clients and whose duties are required to be performed on location will receive an additional one dollar ($1.00) per hour of supplemental basic shift premium for each hour of basic shift premium. This shift premium does not apply to overtime hours. The supplemental basic shift premium shall expire on June 29 2027.
Greeting visitors and sign visitors in and out. Provides direction and information to visitors.
Assists outside contractors and temp staff with facility information.
Assists residents with various needs and redirects residents to appropriate staff for specific requests.
Under general supervision independently perform a variety of clerical projects and assignments.
Verifying agency personnel upon entry in conjunction with staffing schedule.
Assists with various assigned filing projects as directed by the administrative office.
Assists with recruitment processes in NEOGOV scheduling interviews reference checks
Answer telephones and take messages or transfer calls as appropriate. Answer questions or refer to the appropriate department or person.
Assist with scheduling/maintaining staffing for all of the nursing department in the absence of the scheduler or a nurse manager. Contact on-call staff as needed for day-of or next-day coverage.
Assist with completing reference checks.
Assists with Cashier duties in the absence of the cashier to include resident requests regarding trust funds. Maintain accurate financial activity files for welfare and betterment and resident trust fund accounts for audit trail.
Provide information as needed for survey and complaint nurses

Qualifications
Required:
6 Months experience in a clerical position preferably in a medical environment.
Proficient in Microsoft Office applications.
Must be proficient in the English language and be able to read write and speak English.
Preferred/Desired:
Excellent customer service skills. Clear written and verbal customer service skills. Experience with medical terminology and file management.
Special Requirements:
Must be able to pass a DSHS BCCU Background Check prior to beginning services and every two (2) years in accordance with WDVA Policy 615.000 Background Checks. Information from the background check will not necessarily preclude employment but will be considered in determining the applicants suitability and competence to perform in the position.
Must comply with annual Tuberculin Screening in accordance with DVA policy 670.000 Tuberculosis Testing.
Requires medical evaluation fit testing training and use of respiratory protection as required by the Washington Industrial Safety and Act standards. Must be able to wear a respirator medical gloves gowns eye protection and other personal protection as required by a job or task.
Positions requiring travel must have a valid unrestricted drivers license and must be insured if driving a privately owned vehicle on state business.
Candidates who are offered a job with WDVA must possess work authorization which does not require sponsorship by the employer for a visa now or in the future.
