SUMMARYUnder the general direction of the President supports the work of the Office of the President providing skilled executive assistant services and administrative support. Serves as the corporate secretary for the school and for the Educational Foundation; also serves as the recording secretary for the Board of Trustees and the Educational Foundation DUTIES AND RESPONSIBILITIES include but are not limited to the following:Executive Assistant: Answers telephone calls in a prompt and courteous manner directing the caller or taking a message; handles sensitive callers in the absence of the President determining best way to direct the call; receives scheduled and unscheduled visitors for the President; maintains the Presidents calendar intervening when a scheduling conflict appears and communicating all changes; types correspondence and other documents at the request of the President; proofreads and edits correspondence and other sensitive materials of a highly confidential nature; initiates and responds to requests for information from the District of San Francisco-New Orleans; compiles and organizes support materials and documents for monthly meetings; supports COO/CFO and VP of Advancement and Communications as Support: Acts as the recording secretary for the Board of Trustees and Educational Foundation Board; provides timely communications and notices arranges all aspects of board meetings takes minutes prepares agenda items and board packets and distributes minutes from previous meetings prior to next meeting; follows up with Presidents direct reports to gather reporting feedback in a timely manner consolidating information for review prior to publication to board members. Maintains records and archives board information; electronically posts board reports to members prior to bi-monthly meetings. Participates in District-level training and planning related to Board support. Ensures compliance of all board policies communicating and clarifying with District as needed. Provides support to board chair and board committees as needed. Supports onboarding of new board members coordinating training and supplying information. Provides support to other administrative team members as it relates to board work or to other administrative school projects as Support: Provides administrative support for projects on an ongoing basis; may gather data and support materials for the President in order to compile information for Administrative Team meetings. Coordinates with Executive Assistant to the Principal to facilitate communication between school and La Salle Center (LSC). Makes travel plans for the President and otherAdministrative Team leaders as needed. Maintains LSC building calendar; schedules meeting spaces for individuals and groups coordinating multiple requests and tracking space availability; maintains office communal and meeting spaces communicating maintenance needs restocking supplies as needed and coordinating meeting needs; Coordinates specific and periodic projects; designs orders and sends out Thanksgiving and Christmas cards manages Lasallian Educator of the Year ballots organizes the summer calendar/information for the LSC collects RSVPs for special events assists with Benefactor Reception both before and at the event assists with various event support including Open House and Believe Benefit Dinner. Maintains records for institutional continuity and compliance. Coordinates various staff and stewardship perform this job successfully an individual must be able to perform each essential duty satisfactorily. Extended periods of sitting and/or standing is required for this position. Some limited lifting is required to move delivery boxes or materials into place. Lifting generally entails less than 10 pounds. On occasion may lift up to 20 pounds. Must be able to speak and hear on the telephone in order to communicate with callers and visitors to the Presidents office. Position requires some late or evening work several times per year.
