Job Title: Senior Academic Administrator - Registration
Reporting to: Head of Academic Administration
Location: Griffith College Dublin South Circular Road
Job Type: Full-Time / Permanent
Job Summary:
TheSenior Registration Officerplays a key role within the Academic Administration Department supporting the effective management of all learner registration operations across Griffith Colleges campuses and partner institutions.
The post-holder will lead day-to-day registration activities ensuring the accuracy of learner data compliance with regulatory requirements and delivery of a high-quality service to learners staff and external stakeholders.
Working closely with theHead of Academic Administration and colleagues across Admissions Fees Examinations Programme Management Officer and Faculties the Senior Registration Officer will contribute to the continual improvement of registration systems policies and processes.
Job Responsibilities:
Registration Operations
- Oversee and coordinate registration processes across multiple campuses and delivery modes.
- Ensure the timely and accurate registration of all learners on validated programmes in accordance with QQI and College requirements.
- Maintain the integrity of learner data across all academic systems and databases.
- Monitor and report on registration trends learner status changes and data quality metrics.
- Manage the issuing of invitations to register learner record updates and amendment requests.
Team Leadership & Support
- Provide guidance and support to Registration Officers and administrative staff in day-to-day operations.
- Act as first point of escalation for complex registration queries and issues.
- Support the Registration Officers in training mentoring and developing the registration team.
- Promote a culture of professionalism collaboration and service excellence.
Policy Governance & Compliance
- Ensure all registration processes and communications align with College policies and external regulatory requirements (QQI HEA GDPR etc.).
- Contribute to the development documentation and review of registration policies and procedures.
- Assist with data audits compliance checks and quality assurance reviews as required.
Systems Reporting & Process Improvement
- Work with the Registration Officers and IT to enhance registration systems and digital workflows.
- Lead or support projects related to system upgrades process redesign and data automation.
- Generate regular reports and analytics to inform decision-making at departmental and institutional levels.
- Ensure accuracy and consistency in learner data reporting for internal and external stakeholders.
Stakeholder Engagement
- Collaborate effectively with Programme Management Admissions Fees Examinations Graduation and Faculty Offices to ensure smooth transitions through the learner lifecycle.
- Communicate clearly and proactively with learners staff and external partners to resolve queries efficiently.
- Support the planning and delivery of key academic events such as opening of online registration and graduation.
General
- Participate in cross-departmental working groups and meetings as required.
- Contribute to the Colleges continuous improvement culture by suggesting and implementing enhancements to procedures and systems.
- Undertake any other duties commensurate with the role as directed by the Head of Academic Administration.
Minimum Education / Experience Requirements:
- A minimum of three years experience in higher education administration with at least one year in a registration or academic records role.
- Proven experience managing data and maintaining large-scale information systems.
- Strong understanding of learner lifecycle processes and QQI/HEA compliance requirements.
- Excellent attention to detail organisational and analytical skills.
- Proven ability to work effectively under pressure and meet tight deadlines.
- Strong communication and interpersonal skills with a commitment to service excellence.
- Competence in Microsoft Office and college database systems
- Must be legally entitled to work full-time in Ireland for any employer.
The successful candidate will be required to carry out duties at all times in a highly ethical and professional manner e.g. accuracy integrity confidentiality timeliness.
