Job Summary

POSITION OVERVIEW

A busy co-founder entrepreneur and makeup artist residing in West Hollywood is seeking a highly organized and dedicated Executive Assistant. The Executive Assistant will play a crucial role in the daily operations of the co-founders professional and personal life. This position requires a highly adaptable and detail-oriented individual who can manage multiple tasks and priorities in a fast-paced environment. The ideal candidate will possess a creative mindset positive and energetic demeanor exceptional organizational skills strong discretion the ability to multitask and a proactive approach to problem-solving. The ideal candidate will possess a flexible mindset and be prepared for occasional requests during evenings or weekends though round-the-clock availability is not required.


This candidate will collaborate closely with the brand CEO and brand leadership team to coordinate and assist with a variety of company tasks including personal and business travel as well as administrative tasks. This role will be based in-office at the co-founders brand headquarters or at the Founders home home with the flexibility to work remotely on designated days. There may also be occasional requests to run errands or work from the co-founders home as needed.

Since launch the brand has achieved top-tier rankings at Sephora with a cult following among makeup artists celebrities and everyday beauty enthusiasts alike. Patrick Ta Beauty is shaping the future of modern luxury beauty pushing boundaries withpro-inspired innovation that meets consumer-friendly functionality.

ROLES & RESPONSIBILITIES
Executive Support
  • Manage and maintain an organized calendar scheduling meetings and appointments to maximize productivity.
  • Arrange domestic and international travel logistics including flights accommodations and transportation. Confirm all travel arrangements ahead of departure and communicate real time updates about drivers and hotel stay arrangements such as late or early check out. Create travel itineraries for each trip including travel details and daily schedules.
  • Collaborate with the co-founders: brand team agent and PR team to ensure smooth and professional functionality and clear communication across responsibilities and teams.
  • Keep the co-founder informed on business and industry updates ensuring timely communication of key information.
  • Collaborate closely with EA to the CEO and CEO of co-founders brand to ensure alignment on initiatives and projects and ensure expectations of co-founder are executed properly.
  • Assist in coordinating wardrobe (styling coordination of delivery returns) transportation and other necessities for professional events.
  • Work with all teams to ensure on time social deliverables.
Personal Support
  • Ability to film content with Patrick on occasion such as day in the life or behind the scenes.
  • Handle personal errands and tasks as needed demonstrating flexibility and a service-oriented mindset.
  • Occasional assistance in organizing and maintaining the co-founders home environment especially during busy travel times.
  • Keep track of the co-founders network and help arrange gifts/florals as needed.
  • Unboxing PR packages.
  • Occasional airport pickups if within working hours.

PROFESSIONAL QUALIFICATIONS
  • Experience as a personal or executive assistant or similar role preferred but not required
  • Previous experience working with high profile individuals and/or within the beauty industry preferred but not required
  • Problem solver with ability to manage multiple priorities and remain calm under pressure
  • Proficiency with technology including scheduling software email and Microsoft suites
  • Trustworthy discrete and respectful of privacy
  • Valid drivers license and ability to commute between locations
  • Exceptional organizational skills and attention to detail.
  • Strong communication skills both verbal and written.
  • Ability to work independently and as part of a team demonstrating initiative and creativity.
  • Flexibility to adapt to changing priorities and manage multiple tasks effectively.
  • A 24/7 mentality with a commitment to excellence while maintaining a healthy work-life balance.
  • Must be able to lift 45lbs
