What this job involves:

As the Program Delivery Coordinator Meeting and Events at JLLs Integrated Meeting & Events team you will be responsible for coordinating meeting and events across a campus or region while reporting to the Assistant Program Manager. You will provide support and leadership to onsite meeting and events teams ensure the Meeting & Events Portal remains current and coordinate event setups with meeting and events teams to complete requests in a timely manner. This role requires exceptional attention to detail and outstanding customer service skills as you coordinate local employee experience activations manage out-of-hours events and ensure meeting room conditions meet agreed standards. You will play a vital role in JLLs commitment to delivering transformative real estate solutions by ensuring service excellence across your assigned campus or region implementing new processes and standards and maintaining relationships with external catering providers that enhance client experiences and workplace satisfaction.

What your day-to-day will look like:

  • Support and lead onsite meeting and events teams while ensuring the Meeting & Events Portal remains up-to-date and accurate
  • Coordinate event setups and meeting room configurations with teams ensuring requests are completed efficiently and effectively
  • Coordinate local employee experience activations and events while managing out-of-hours meeting and event logistics
  • Ensure general condition of meeting rooms meets agreed standards while coordinating service support including Technicians Janitorial and Security Teams
  • Provide operational oversight of campus or region linking with Program Manager for implementation of global and regional practices
  • Act as point of escalation for issues providing feedback to Program Manager and ensuring compliance with EHS requirements
  • Manage meeting room furniture and equipment while making recommendations for improvements and maintaining relationships with external catering providers.

Required Qualifications:

  • Previous experience working within high-profile corporate environments with demonstrated professionalism and customer service excellence
  • Outstanding customer service skills with ability and confidence to communicate with customers at all levels both written and verbally
  • Fluency in English and local language with proficient knowledge of Microsoft Office Suite
  • Very high attention to detail with ability to maintain accuracy in fast-paced meeting and events coordination
  • Excellent team player mentality with willingness to go above and beyond for colleagues and clients
  • Ability to maintain professionalism at all times while serving as ambassador of the meeting and events team
  • Strong organizational and coordination skills for managing multiple simultaneous events and requests.

Preferred Qualifications:

  • Previous hospitality and event management experience in corporate or high-volume environments
  • Facilities Management exposure with understanding of building systems and operational requirements
  • Experience with meeting and events technology platforms and portal management systems
  • Knowledge of EHS requirements and standards for meeting and event activities
  • Experience liaising with global events teams and external vendor management
  • Project coordination experience with ability to implement new processes and standards
  • Understanding of logistics coordination and room configuration management for various event types.
