Position Summary
The Facilities Coordinator as part of a larger team will oversee workplace relocations space reconfigurations and furniture management projects to support organizational changes and optimize space utilization. This role requires strong project coordination skills and attention to detail to ensure seamless transitions with minimal business disruption.
The hiring team places a strong emphasis in finding a diligent and motivated individual with excellent customer service skills who excels at using all forms of technology to quickly resolve client needs.
Key Responsibilities
Move Management:
Plan coordinate and execute employee relocations department moves and office expansions
Develop detailed move project timelines and communicate schedules to all stakeholders
Coordinate with moving vendors IT teams and security to ensure seamless transitions
Conduct pre-move site assessments and post-move quality checks
Manage move-related documentation including floor plans asset inventories and change orders
Furniture & Space Modifications:
Assess furniture needs for new hires relocations and space reconfigurations
Coordinate furniture installations modifications and removals
Maintain furniture inventory database and track asset lifecycle
Work with vendors for furniture procurement delivery and installation
Ensure compliance with ergonomic standards and accessibility requirements
Project Coordination:
Manage multiple concurrent projects while maintaining quality and deadlines
Assist with preparing project budgets and track expenses against allocated funds
Ensure that facilities are following applicable building health safety and fire codes and regulations
Coordinate with internal teams (HR IT Security) and external vendors
Resolves problems associated with building services (conference rooms workstations) as needed.
Provide regular project status updates to management
Workspace Operations
Establish strong relationships with clients vendors and staff.
Work within JLL and Client CMMS systems to claim tickets and ensure all issues are completed within the defined Service Level Agreements (SLAs)
Convert requests outside of CMMS systems (phone calls text email etc.) into tickets that can be tracked and resolved
Assist and complete weekly/monthly physical audits of space as needed.
Support existing contracts for facilities within your geographical areas
Proactive in finding improvement projects and following through on a plan to complete projects
Find and implement costs saving ideas monthly
Required Qualifications
Bachelors degree in Facilities Management Business Administration or related field (or equivalent experience) preferred
2-4 years of experience in facilities management move coordination or project management
Strong organizational and multitasking abilities
Excellent written and verbal communication skills
Experience with CAD software or space planning tools (preferred)
Proficiency in project management software and Microsoft Office Suite

Ability to work under pressure and manage tight deadlines
Customer service mindset with professional demeanor
Excellent interpersonal communication organizational and management skills
Physical ability to conduct site inspections and oversee installations
Have the ability to understand and read basic floor plans.

Account Performance
Proactively develop and maintain client relationships
Ensure client satisfaction with delivery of facility management services and provide a lead role in monitoring and increasing customer satisfaction
Complete all reports at their scheduled intervals (weekly monthly quarterly)
Accomplish key performance indicators as identified by Management.
Supports requests associated with JLL management operations and financial audits
Assists management and JLL team with operational reporting budgeting financial audits and purchasing as necessary
