Job Summary

Administrative Support Specialist (Temporary Assignment)

Full-Time Onsite 16-Week Assignment

We are seeking a detail-oriented and proactive Administrative Support Specialist to provide temporary support for a high-volume office environment. This role ensures smooth daily operations assists with special projects and provides administrative records and customer support.

The ideal candidate is organized professional and comfortable working with confidential information and multiple stakeholders in a fast-paced setting.

Schedule

  • Monday Friday 40 hours per week
  • Approx. 16-week assignment (subject to change based on business needs)

Key Responsibilities

Administrative & Customer Support

  • Greet and assist visitors and internal staff in a professional welcoming manner
  • Answer phone calls and emails route inquiries and provide timely responses
  • Prepare and format letters reports and business documents using established templates
  • Manage office supplies incoming/outgoing mail and general administrative tasks
  • Coordinate logistics for meetings and events including scheduling ticket purchasing and catering/meal arrangements

Financial & Purchasing Support

  • Assist with processing vendor invoices and preparing purchase orders
  • Support purchase card expense reconciliation and collect required receipts/documentation

Records & Program Support

  • Support document filing retention and data entry in internal record-management systems
  • Process official documents and maintain accurate digital and physical files
  • Assist with scheduled document destruction following compliance guidelines
  • Provide administrative support for special programs and events including tracking documentation and post-event tasks

Additional Responsibilities

  • Assist with ad-hoc administrative tasks to support office efficiency and workflow
  • Maintain confidentiality and provide excellent customer service at all levels

Qualifications

  • High school diploma or GED required
  • 2 years administrative or clerical experience in a professional office setting
  • Experience with document management and data entry
  • Familiarity with invoice processing purchase orders or expense reconciliation preferred
  • Proficiency in Microsoft Office (Word Excel Outlook); ability to learn new systems quickly
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and deadlines

Compensation & Benefits:

  • $23/hour - $28/hour DOE paid weekly on Fridays.
