Tasks
We are seeking a highly organized and detail-oriented Junior Manager to support the administration and management of our operatings in Luxembourg. The ideal candidate will possess the highest degree of integrity and trustworthiness with strong organisational skills and the ability to manage multiple corporate entities efficiently. You will play a critical role in ensuring smooth operations of our SPV structures.
You will be a cornerstone of our operations ensuring that managemnet processes run smoothly and efficiently.
Key Responsibilities:
- Corporate Governance & Administration:
- Prepare and coordinate board meetings written resolutions and corporate approval.
- Draft finalise and maintain board meeting minutes and resolutions
- Ensure timely filing of corporate documents and maintain statutory records
- Monitor compliance deadlines and regulatory requirements for SPVs. - Asset Management & Reporting:
- Support property asset management activities including performance monitoring and reporting.
- Maintain property portfolios documentation and track key metrics.
- Assist with preparation of asset status reports for investors and stakeholders.
- Coordinate with property managers and external asset management teams.
- Support valuation processes and maintain asset registers. - Financial Administration: Prepare and manage a statement of assets for banks lenders and other stakeholders. Support the accountant with tax-related documentation and preparation.
- Document Management: Meticulously file and organize documents within our SharePoint system ensuring all files are easily accessible and logically structured.
- Research: Conduct thorough research on various topics to support ongoing projects and initiatives.
Working Hours:
This is a partial remote position with flexible hours. However the ideal candidate will be able to align their schedule with Lux and German business hours.
Requirements
Must-Have Qualifications:
- Advanced Excel Skills: Proficiency in Microsoft Excel for data management analysis and reporting.
- Outlook Expertise: Deep knowledge of Microsoft Outlook for email and task management.
- Meticulous Documentation: Exceptional documentation and file management skills with a strong understanding of best practices for digital document storage and organisation in Onedrive / SharePoint.
- Language Proficiency: Fluent in German (required).
- Integrity: Demonstrated ability to handle confidential information with the utmost discretion and trustworthiness.
- Residency: Luxembourg Resident and Work Permit (ideally Citizenship).
Bonus Skills:
- Language Skills: Proficiency in other languages (French and Spanish) is a plus.
