PAYROLL SERVICES SPECIALIST
Position SummaryThe Payroll Services Specialist is responsible for managing end-to-end payroll processing for exempt and non-exempt employees across multiple states ensuring accuracy compliance and timely execution. This role requires strong expertise in BambooHR with preferred experience in NetSuite and involves handling payroll administration time and attendance management platform support reporting and coordination with HR and Accounting. The ideal candidate has 3 to 5 years of payroll experience a background in Finance or HR and is amenable to working in Eastern Time.Roles & Responsibilities Payroll Processing & Administration- Manage all scheduled payroll processing for exempt and non-exempt employees in
- multiple states utilizing the Companys existing payroll service platform.
- Ensure all payroll cycles are submitted by their respective
- Process supplemental pay including commissions bonuses and expense
- reimbursements based on Company-provided information.
- Calculate and post off-cycle and other manual checks as needed.
- Administer unscheduled special-run payrolls for affected managers and employees
- with supplemental fees applying for unscheduled payroll runs.
- Coordinate with HR on garnishments and employment verifications.
- Calculate off-cycle and other manual exit checks inform the Company of amounts
- for internal check preparation and enter data into the payroll system for recording
- purposes.
- Ensure tax accuracy for each employee and payroll code.
- BambooHR experience required and NetSuite experience preferred.
Time & Attendance Management- Administer the time and attendance platform in a manner consistent with federal wage and hour regulations.
- Provide comprehensive support to employees and managers on time and attendance data management encompassing time reporting requests for time off and manager approvals.
- Maintain paid time off data in the payroll platform per Company policies.
- Audit paid time off data alongside payroll instruction procedures following each payroll processing.
Payroll Platform Management & Change Control- Assist managers and employees with payroll platform navigation and use; troubleshoot access issues as needed.
- Enter all payroll-related changes (e.g. changes to pay rates bonuses department expense reimbursements paid through payroll) using agreed-upon documentation systems and processes.
- Review and proof change reports in conjunction with pre-established internal approval processes for each payroll processing.
- Review new hire entries performed by HR.
- Review employee-generated self-service changes.
- Create and/or modify payroll-related codes with designated taxation and appropriate workflows system calculation parameters etc. as needed.
Reporting & Compliance- Process and respond to garnishments and wage-related employment verifications (e.g. mortgage disability income etc.).
- Prepare and send stock payroll reports to the Companys Accounting Department in support of journal entries if needed.
- Complete year-end close-out payroll and reporting records.
- Assist the Accounting Department with retirement/pension uploads following payroll processing if applicable.
Communication & Coordination- Provide monthly/quarterly updates on payroll activities aligning with Company goals and priorities.
- Coordinate Company decisions with open items.
- Communicate with Company management as needed and requested.
Response time for calls/texts is within two hours. Emails will receive a response within 24 hours or by the next business day unless designated as urgent or confidential.- Eastern Time working hours are mandatory.
Qualifications Graduate of any 4-year Bachelors degree program preferably majoring in Finance Human Resources or an equivalent field Minimum of 3 to 4 years of experience in payroll processing; 5 years is preferredExperience in utilizing multiple payroll systems such as ADP Paylocity Rippling Gusto or Paycom is preferred but experience in BambooHR is strongly preferred. Experience with NetSuite is preferred Available to work from 9:00 PM 6:00 AM Manila Time Monday to Friday Work Arrangement: Remote but required to report onsite if necessary.
