The Global Procure-to-Pay (P2P) Shared Services Associate plays a key role in supporting global procurement and accounts payable (AP) operations within the companys shared services center. This role is responsible for assisting in daily transactional activities in Coupa and the ERP system (e.g. NetSuite) ensuring invoices purchase orders and payments are processed accurately timely in compliance with corporate policies controls and established service level agreements (SLAs). The position also supports vendor management employee expense reimbursements and continuous improvement initiatives across the global P2P process.
Note: The person will need to support North American shift (4pm IST to 2 am IST - any 9 hour coverage)

DUTIES AND AREAS OF RESPONSIBILITY:
Purchasing:
Assist in the creation review and maintenance of purchase requisitions and purchase orders in Coupa.
Ensuring timely processing in line with SLAs.
Ensure purchase orders comply with company procurement policies approval hierarchies and budget controls.
Monitor open purchase orders receipt of goods/services and follow up with stakeholders to close aging POs.
Provide first-line support to business users on Coupa-related queries (e.g. requisition approval flow supplier catalog issues).
Support supplier enablement and onboarding activities within Coupa ensuring accurate setup and data integrity.
Invoice processing
- Review validate and process vendor invoices through Coupa Invoice and the ERP system meeting daily and monthly SLA targets.
- Perform 3-way and 2-way matching between POs receipts and invoices; research and resolve discrepancies promptly.
- Process non-PO invoices after obtaining proper approvals and supporting documentation.
Vendor Setup:
Facilitate vendor onboarding and setup in Coupa ensuring all required documentation (e.g. W-9/W-8 tax information bank details) is received validated and approved.
Perform vendor data validation to ensure accuracy completeness and compliance with company and regulatory requirements.
Manage vendor record updates and deactivations in coordination with Procurement Compliance and Treasury teams.
AP wire payments:
- Assist treasury team with AP related wire transfers. Ensuring data is accurately entered and routed for proper approvals
AP payment selections:
- Assist P2P manager in creating payment selections and ensure payments are properly initiated and executed timely.
Other duties:
- May include special projects audit assisting in system implementations reporting and analytics data migration from acquired companies etc
Qualifications :
Education/Licenses: Bachelors degree in Accounting/Finance or other similar qualification preferred.
Experience: Minimum of 2-5 years of relevant experience experience in global shared service center for multinational companies preferred.
Computer skills: Knowledge in the financial system and reporting tools (experience in Coupa & Oracle Netsuite a plus). Expert in Google Sheet and other Google Suite MS Excel.
Other knowledge or skills: Confidence and consistent track record to communicate both orally and in writing. Ability to work independently and take ownership of multiple concurrent and diversified tasks while working with deadlines. Highly organized with phenomenal attention to detail. Aptitude to work closely with a cross functional team and interact effectively with various individuals across the organization. Provide responsive customer-focused support to internal departments Procurement FP&A and vendors. Collaborate with global teams to ensure consistent P2P process execution across regions. Ensure timely communication and resolution of issues impacting SLA performance or vendor satisfaction.
