The Opportunity

Monash Universitys Buildings and Property (B&P) Business Support team is seeking a proactive and detail-oriented Professional Services Coordinator to join our dynamic and customer-focused environment. Our team is driven by a commitment to customer experience innovation and collaborative partnerships.

As the Professional Services Coordinator you will play a pivotal role in managing and coordinating a range of administrative financial and contractor compliance functions. Youll ensure consistent and compliant processes across B&P support procurement and vendor management and contribute to continuous improvement initiatives that enhance service delivery and operational efficiency.

Key Responsibilities for this role include:

  • Coordinate a program of complex administrative processes and work prioritisation for the Professional Services team including coordinating and planning contractor and work order management functions and providing consistent support to B&Ps purchasing and procurement functions

  • Support coordinate and liaise with relevant authorities to ensure the progress of B&P processing which may include but is not restricted to procurement vendor payments contract administration and timely and accurate processing of tenders

  • Assist with B&P cost reconciliation activities such as recouping expenses incurred by B&P and Security for payments made on behalf of customers

  • Generating reports and dashboards in accordance with the B&Ps performance and business reporting requirements

  • Act as the primary point of contact for contractor-related queries offering guidance to internal stakeholders on registration inductions including maintenance of kiosks across multiple locations including providing necessary communications relevant to B&P contractors

To be successful in the role you will need to possess:

  • Demonstrated experience in implementing complex administrative tasks including:

    • Process Documentation

    • User Training

    • Issue Resolution in contractor compliance

  • Strong Analytical and Problem-Solving skills with the ability to interpret data and make decisions

  • The ability to deliver operational improvements and identify solutions to challenging issues

  • Highly developed planning and organisational skills including the ability to set priorities manage time and plan work to meet deadlines
