Position Summary

The Program Operations Coordinator supports strategic programming operations through AI-enhanced workflow management automated data systems and intelligent program coordination across multiple academic and non-credit programs. This role combines traditional program coordination with advanced technology integration to optimize operational efficiency enhance adjunct faculty support and streamline administrative processes. Working closely with the Director of Data Insights and Operations this position implements automated solutions manages data-driven workflows and provides enhanced support to Directors and adjunct faculty while contributing to the continuous improvement of operational excellence across the College of Professional Studies. This position reports to the Director of Data Insights and Operations and works collaboratively with Academic Directors Program Directors and cross-functional teams across University College. The role serves as a key operational support partner while contributing to technology integration and process improvement initiatives.

Essential Functions

AI-Enhanced Program & Operational Support (30%)

  • Automated Workflow Management: Implement and manage AI-powered systems for course scheduling instructor assignment and program coordination that reduce manual processes and improve operational efficiency
  • Intelligent Process Optimization: Support Academic Directors and instructors through automated protocols predictive scheduling tools and AI-enhanced communication systems that anticipate needs and streamline operations
  • Technology-Enhanced Coordination: Utilize automation tools for quarterly and multi-term course schedules instructor scheduling textbook orders and administrative functions while ensuring seamless integration across multiple platforms
  • Cross-Functional Collaboration: Work with Academic Directors Enrollment Management and Learning Experience Design teams using collaborative platforms and data-sharing tools to achieve program enrollment objectives and operational goals

Advanced Data Management & Analytics (30%)

  • Intelligent Data Systems: Proactively maintain and synthesize data from multiple sources using AI-powered tools automated dashboards and advanced visualization platforms that provide real-time insights for decision-making
  • Automated Reporting & Analytics: Develop and manage intelligent reporting systems that automatically track instructor performance course effectiveness program metrics and operational KPIs using advanced analytics tools
  • Data Integration & Quality Assurance: Oversee automated collection and updating of course information instructor files and operational processes while ensuring data accuracy and system integrity through AI-powered validation tools
  • Dashboard Development & Management: Create and maintain interactive dashboards that provide Academic Directors and stakeholders with self-service access to program data trends and performance metrics

Adjunct Faculty Support & Communication Enhancement (30%)

  • Automated Communication Systems: Manage AI-enhanced communication platforms for adjunct faculty coordination including automated scheduling tools intelligent email sequences and chatbot support systems
  • Digital Adjunct Faculty Coordination: Utilize advanced scheduling algorithms and predictive modeling to optimize instructor assignments coordinate curriculum delivery and ensure appropriate resource allocation across all course modalities
  • Technology-Enhanced Adjunct Faculty Support: Provide high-touch customer service through multiple digital channels while leveraging AI tools to anticipate adjunct faculty needs provide instant support and escalate complex issues appropriately
  • Training & Resource Management: Assist in implementing digital onboarding systems automated training modules and AI-powered resource libraries that enhance adjunct faculty effectiveness and satisfaction

Process Innovation & Continuous Improvement (10%)

  • Workflow Automation Development: Identify opportunities for process improvement and implement automated solutions that increase efficiency reduce errors and enhance the overall operational experience
  • Technology Integration Support: Assist in testing and implementing new AI tools automation platforms and digital solutions that enhance program coordination and operational effectiveness
  • Performance Monitoring & Optimization: Use data analytics and feedback systems to continuously evaluate and improve operational processes adjunct faculty support mechanisms and program coordination effectiveness

Knowledge Skills and Abilities

Technical Competencies

  • Proficiency with Microsoft Office Suite particularly Excel with experience in data analysis and automation features
  • Experience with learning management systems scheduling platforms and collaborative tools
  • Experience with AI applications automation tools and data visualization platforms
  • Knowledge of learning management systems (Canvas preferred) and educational technology platforms
  • Experience with data visualization tools (Tableau Power BI) and project management software
  • Familiarity with FreshDesk or similar service management platforms
  • Experience with academic operations and adjunct faculty support processes

Operational & Analytical Skills

  • Ability to identify process improvement opportunities and implement technology-enhanced solutions
  • Strong data literacy with proven ability to maintain data accuracy and create meaningful reports
  • Experience with project coordination and event management using digital tools and platforms
  • Demonstrated ability to manage multiple priorities and work with diverse teams
  • Background in higher education or adult learning environments
  • Strong organizational skills and attention to detail

Communication & Collaboration

  • Excellent written and verbal communication skills with ability to engage diverse stakeholders across multiple organizational levels
  • Demonstrated ability to provide exceptional customer service through multiple channels including digital platforms
  • Strong interpersonal skills with focus on building relationships and facilitating collaboration

Required Qualifications

  • Minimum 3-4 years of administrative support experience in office or educational environments
  • High school diploma

Preferred Qualifications

  • 4-5 years of experience as administrative support experience in office or educational environments
  • Bachelors degree in higher education administration business or related field or equivalent combination of education and experience
  • Professional certifications in project management operations or related areas

Working Environment

  • Standard office environment.
  • Unexpected interruptions occur often and stress level is moderate to high.
  • Noise level is quiet to moderate.

Physical Activities

  • Ability to work in front of a computer for extended periods of time.
  • Occasionally required to move about the office/campus.

Work Schedule

Monday - Friday 8:00 a.m. - 4:30 p.m.

Salary Grade Number

The salary grade for the position is 8.

Hourly Range

The hourly range for the position is $27.07 - $30.65.

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate departmental budget availability internal salary equity considerations and available market information but not based on a candidates sex or any other protected status.
