JOB SUMMARY:
Receptionists play a critical role in making a first impression with each person that visits Supportive Services Inc. This first impression can greatly influence the agencys success.
Under the supervision of the Administration Operations Manager and/or the Program Director the Receptionist will greet assist and provide directions and information to clients visitors vendors and other guests of the agency. The Receptionist will also perform various routine clerical duties to support the agency. This is a non-exempt position.
ESSENTIAL JOB FUNCTIONS:
1. Assist in logging incoming monthly Attendance Sheets.
2. Greet clients visitors and guests; determine the purpose of each persons visit and direct or escorts him or her to the appropriate location.
3. Answers screens and directs phone calls to staff and take messages.
4. Assists with the routing of calls and answering the phones professionally.
5. Record client requests and phone calls in a detailed and accurate manner.
6. Receives mail documents packages and courier deliveries and delivers or distributes items to the appropriate person for review and further dissemination.
7. Performs clerical duties (i.e. typing mass mailer preparation filing completing agency forms).
8. Ensure the Reception area and Lobby are tidy and presentable and supplies are always restocked.
9. Operates office machines including copiers scanners multi-line telephone and voicemail systems agency computers and other standard office equipment.
10. At their desk maintain basic agency files and recordkeeping systems either manually or electronically.
11. Responsible for keeping record of in and out times of vendors and agency clients.
12. Be conscious of who is entering and exiting the building to ensure security and safety of all agency guests.
13. Workplace security is maintained by managing visitor/vendor badges collecting them and checking them as needed.
14. Frequently monitor the agencys security cameras at their desk for possible safety concerns. Concerns are to be reported immediately to the Administration Operations Manager.
15. Ensure clients confidentiality is always maintained.
16. Direct customer service inquiries and the like to the proper agency staff.
17. Back up and support for the Agencys Waiting List and/or Records Department as necessary when applicable.
18. Deliver excellent customer service.
19. As deemed necessary be available to attend or represent the agency at offsite community-based events.
20. Perform any additional duties as deemed necessary by the Administrative Staff.
REQUIRED SKILLS/ABILITIES:
1. Regular and daily attendance; timely arrival to work
2. Proficient with Microsoft Office Suite or related software
3. Knowledge of office equipment (such as copiers and fax machines)
4. Professional demonstration of verbal and written communication and able to effectively follow written and verbal instructions
5. Excellent interpersonal and customer service skills
6. Basic understanding of clerical procedures and systems
7. Exceptional record keeping practices
8. Excellent time management skills with a proven ability to meet deadlines
9. Sufficient alphabetizing reading and computer skills to fulfill essential job functions
10. Alphabetical and numerical filing methods
11. Time management and strong organizational skills
12. Must be able to work independently and collaboratively
13. Able to effectively or clearly communicate with supervisors and coworkers
High school diploma or equivalent required
Two (2) years of full-time paid clerical work experience
Note: Depending on the organizational needs the ability to type 25 words or more per minute may be required.
