Location: Dickinson TX
Job Type: Full-Time (Mon-Fri)* Must be available some weekend.


Smarter HR Solutions is currently seeking a detail-oriented and time management pro as an Office Assistant for our shaved ice and mobile client. Our shaved ice and mobile coffee client prides itself in bringing joy (and caffeine!) to the community with creative shaved ice flavors and specialty coffee experiences. They serve schools businesses events and private parties with top-quality products and friendly service. Were looking for a reliable organized and upbeat Office Assistant to help our client keep operations running smoothly behind the scenes.
The Office Assistant will provide administrative and operational support to ensure daily business functions run efficiently. This person will handle scheduling communication recordkeeping and general office duties while assisting with event coordination and driver support. Our client serves the Texas Coast from East Beaumont to Freeport. This individual MUST have some weekend availability.

Key Responsibilities:

Administrative Support

  • Answer phone calls emails and messages from customers and event partners

  • Manage the event calendar and assist in scheduling Kona Ice and Travelin Toms bookings

  • Prepare invoices receipts and reports; assist with basic bookkeeping tasks

  • Maintain organized digital and physical records (permits contracts inventory etc.)

Operations Coordination

  • Communicate schedules and route information to truck drivers and staff

  • Assist with onboarding and training coordination for new employees

  • Track inventory levels (cups syrups coffee supplies merchandise) and place orders as needed

  • Support event logistics confirm addresses timing setup needs and customer preferences

Customer Service

  • Provide excellent service to customers through professional and friendly communication

  • Help resolve minor scheduling conflicts or service issues

  • Assist in preparing marketing materials or social media posts for upcoming events



Schedule & Compensation:

  • Flexible schedule; some weekend or evening work may be required during busy seasons

  • Hourly pay based on experience

Requirements

Qualifications:

  • High school diploma or equivalent (some college preferred)

  • Previous experience in administrative scheduling or customer service roles

  • Strong organizational skills

  • Excellent written and verbal communication

  • Proficiency with Microsoft Office / Google Workspace; experience with scheduling software a plus

  • Positive attitude reliability and ability to work in a fast-paced environment



Physical Requirements:

  • Ability to sit or stand for extended periods

  • Occasionally assist with light lifting (office supplies promotional materials etc.)
