Modern Niagara currently has an opening for a Project Coordinator for our special projects team in Toronto to become an integral part of a project team. As a Project Coordinator this opportunity will allow for growth expansion and application of experience and skillsets in new construction projects.
OVERVIEW OF RESPONSIBILITIES:
- Provide related administrative support to project managers and project teams
- Aid project managers in the organization and distribution of project related documents and drawings from manufacturers suppliers and subcontractors
- Data system entries such as set up of purchase orders for subcontractors suppliers and manufacturers entry of change orders and distribution of change notices monthly updates for WIP forecast sheets updating construction schedule
- Attend turn over meetings for new jobs support team by taking detailed notes for project requirements
- Some preparation of pre-qualification packages for the division
- Create log and track of communications and documents for the project
- Prepare project start-up binders and project close out documents
- Document control of all site paperwork
- Participate in operational meetings such as project delivery meetings staff meetings reviews tech meetings
- Job Set up in Fieldpoint and communicates job number to project managers and technicians
- Ensures estimating data is filled in appropriate job folder
- Attend site meetings as required to assist project manager with meeting minutes and site meetings
- Entering of budgets into system ensuring costs code breakdown is accurate
- Collection and distribution of safety and insurance documentation to GC/Customer i.e. WSIB Clearance Certificate Form 1000 Insurance Certificate NOP etc.
- Follows up with subcontractors to ensure all relevant documentation is received in a timely manner
- Update supplier and subcontractor purchase orders as changes are approved
- Prepares and distributes monthly billing sheets to PMs
- Processes invoices in ERP system and distributes to customers.
- Completes statutory declarations and ensures the submittal of all required paperwork with invoices
- Sets up and invoices work orders as required
- Prepares project close-out documentation including O&M Manuals and as-built in both hard copy binders and electronic formats.
- Complete daily check-ins with technicians
- Assist techs with daily requests including but not limited to assigning them to required jobs submitting tool requests ordering uniforms assisting with schedule etc.
- Assist with project specific requirements including methods of procedures hot work and bypass permits etc.
- Perform other related duties as required
QUALIFICATIONS AND EXPERIENCE:
- Post-secondary education in Construction Management/Mechanical Engineering or equivalent combination of education and experience.
- 1 years project coordination experience within the construction or mechanical Contracting industry is preferred
- Strong working knowledge across Microsoft Office products including Outlook Word Excel and PowerPoint
- Previous working knowledge across project and/or construction management softwares is highly advantageous
- Strong attention to detail and organizational skills coupled with strong reading and writing skills
- Clear and effective communication skills with the ability to develop long-lasting and sustainable productive working relationships with colleagues subcontractors and additional stakeholders associated to assigned projects.
- Driven individual with a strong sense of urgency. Comfortable in working within a deadline-driven fast-paced environment.
- Resourceful individual with strong problem-solving skills. Capable of managing multiple tasks and priorities simultaneously
- Energetic individual who works effectively within a team but also on their own initiative.
