This role is essential in ensuring a seamless and positive experience for every guest whether theyre asking about menu items orders or employment opportunities.
Job OverviewWe are looking for a highly organized efficient and reliable individual to join our team as a Clerical Assistant. This position requires strong administrative skills attention to detail and the ability to handle a variety of tasks to support the smooth running of the office. The ideal candidate will be capable of managing multiple duties while maintaining professionalism and discretion.
Key Responsibilities1. Administrative Support
Provide general office support including answering phone calls responding to emails and managing incoming and outgoing mail.
Assist with scheduling appointments meetings and events for staff members.
Prepare and organize documents reports and correspondence as needed.
Maintain office filing systems and ensure documents are properly stored for easy retrieval.
2. Data Entry & Record Keeping
Input data into spreadsheets databases and company systems accurately and efficiently.
Update and maintain records files and documents ensuring they are up to date and easily accessible.
Assist in managing office inventory ordering supplies and tracking stock levels.
3. Customer Interaction & Communication
Greet visitors and provide a friendly and professional first point of contact for the company.
Answer general inquiries from customers clients or vendors and direct them to the appropriate department.
Handle basic customer service tasks such as managing appointments or providing information on products/services.
4. Document Preparation & Filing
Assist in preparing presentations reports or meeting materials for the management team.
Organize and file both physical and digital documents ensuring they are easily accessible when required.
Prepare and proofread official correspondence reports and forms.
5. Office Organization & Coordination
Ensure the office is organized and runs smoothly handling various day-to-day clerical tasks.
Assist with basic office maintenance tasks such as coordinating with suppliers or service providers.
Support other departments as needed offering assistance on special projects and tasks.
6. Miscellaneous Clerical Tasks
Perform general office duties such as photocopying faxing and scanning documents.
Assist in preparing and managing invoices or other financial documentation when required.
Help with project coordination and tracking deadlines for team members.
Required Skills and QualificationsEducation: High school diploma or equivalent; additional certification in office administration or clerical work is a plus.
Experience: 1-2 years of experience in a clerical or administrative role preferred but not required.
Technical Skills: Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook); experience with office equipment such as printers copiers and scanners.
Attention to Detail: Strong focus on accuracy and thoroughness in completing tasks.
Organizational Skills: Excellent organizational skills with the ability to prioritize tasks and manage time efficiently.
Communication Skills: Strong verbal and written communication skills to interact effectively with colleagues and clients.
Problem-Solving: Ability to handle routine office issues and escalate matters when necessary.
Preferred SkillsFamiliarity with office management software (e.g. Google Workspace CRM systems etc.).
Experience with customer service or client-facing roles.
Ability to multitask effectively and manage a high volume of administrative work.
