The Oregon Health Authority (OHA) Public Health Division (PHD) Center for Health Statistics section in Portland Oregon is currently seeking a Records Management Office Specialist.


As a Records Management Office Specialist you will evaluate and process vital records to verify compliance with legal requirements for registration in the state vital records system. You will perform quality assurance reviews to ensure that vital record information adheres to established state and national data standards and prepare records for preservation in accordance with state archival standards. This role also involves providing office and administrative support including filing vital records distributing forms to partners and handling general office tasks such as sorting and distributing mail for the Records Management Program and the Center for Health Statistics.

What We Are Looking For

Minimum Qualifications: These qualifications must be visible in your application for consideration.

  • Two years of general clerical experience that includes keyboarding word processing or other experience generating documents. OR

  • An associate degree in any field.OR

  • An equivalent combination of education and experience.

  • Experience with records and information management including reviewing records or documents for accuracy and completeness within established criteria.

  • Experience performing data entry contacting customers to obtain information and tracking and compiling documents.

  • Experience with problem solving and organizational skills.

  • Experience working productively with many priorities competing deadlines and assignments.

  • Experience applying and explaining or clarifying laws rules policies and procedures.

  • Experience adhering to highest standards of privacy security and confidentiality laws policies procedures and guidelines.

  • Experience in Word Excel Outlook PowerPoint Teams Adobe Acrobat and tracking or file management software.

  • Experience creating promoting welcoming and maintaining a culturally competent and diverse work environment.
