Griffith Colleges Global Engagement Office known informally as the Griffith Global plays a central role in all of the Colleges internationalization activities. The Global Office works with stakeholders across all faculties and at our sister campuses in Cork and Limerick to actively promote and encourage enhanced internationalization activities.

Through Griffith Global the College recruits international learners to study in Ireland develops academic research and collaborative partnerships with overseas higher education providers across the Globe provides pastoral care and welfare support to its international learners and fosters an environment of cultural awareness within the institution.

Job Summary

This role is being proposed in the context of one of two GEO team members taking Maternity Leave from December 2025. There will be a reconfiguration of the current roles with two staff acting up into more senior roles to endeavour to maintain the current standards of productivity. The key functions of this role will involve producing immigration support letters for up to 2000 new and returning / progressing non-EU learners and managing all accounts and finance related issues including commission payments general invoice processing refund requests host family payments addition this role will incorporate other ad hoc administrative functions that may arise.


Job Responsibilities:

Immigration Support Letters

  • Supporting the production of letters of support for new incoming learners. Ensuring the learners are fully registered and paid before any letters can be released.
  • Assisting with bespoke letters for learners whose circumstances may otherwise cause them difficulty when registering with the Irish Immigration Service (ISD).
  • Supporting the production of letters for returning/progressing learners. Ensuring they are registered and making sure they have paid the request fees. This will require liaising with the Fee Office if fees payment information is not readily available.
  • Checking attendance on the Colleges attendance platform and liaising with faculties where attendance rates require verification.
  • Supporting the production of bespoke letters for learners whose circumstances may otherwise cause them difficulty when registering with the Irish Immigration Service (ISD).

Commission Invoices

  • Processing commission invoices in a timely fashion. Ensuring learners detailed on the invoices are registered and paid and that the fees on the invoices match the fees received. Liaising with the relevant Marketing Officers if there are anomalies that need to be clarified.

Purchase Orders and General Invoices

  • Managing the generation of POs and the processing of invoices associated with GEO activities in a timely manner. Following up with any queries from the GEO Director as required before authorisation is granted.

Tuition Fee Refunds

  • Processing fee refunds in a timely the case of visa refusals ensuring all the relevant paperwork is included with the refund the case of other refund requests ensuring that the refund has been pre-approved by the GEO Director before commencing the processing of these requests.

Administration Tasks

  • Assisting with administrative tasks associated with student admissions registration etc as required.

Front Desk Support

  • Supporting the Student Services function if required during busy periods.

Inductions

  • Assisting with pre-semester Induction activities and involvement in College Induction Days if required.

Additional Tasks

  • Assisting the Global Office Director and Global Office Manager in relation to ad hoc project work and in the preparation of various reports as required. Running any additional queries and reports on the college database as requested.
  • Other ad-hoc duties and project work as assigned by the Line Manager
  • Any other commensurate duties that fall within the employees capabilities.

Minimum Education/ Experience Requirements

  • Excellent communication and administrative skills
  • Proven customer-facing skills
  • Strong organization skills
  • Ability to work in a team environment
  • Capability to work in a dynamic and fast paced environment
  • Proficient in Microsoft Office
  • Third-level qualification would be an advantage
  • Experience of working in a multicultural environment would be extremely beneficial
  • Minimum of Level 8 honours degree. Level 9 Masters Degree an advantage
  • Fluent in English; minimum CEFR C1 level.
