Location: Leeds City Centre

Salary: 20000 - 24000

Working Pattern: Full-time

Experience required: Experience in a similar administrative role

About the Role

We are seeking an experienced Administrative Assistant to join a Business Support Team at a well-established Yorkshire law firms city centre office.

This is a very customer service-focused role predominantly inputting new instructions onto the Case Management system producing relevant letters and documents and answering and directing phone calls through the busy main telephone switchboard. You will be speaking directly to clients so a professional and confident telephone manner is essential.

The successful candidate will be a quick learner and accurate worker able to follow instructions carefully whilst dealing with a high volume of work. You will be a team player with a flexible can-do attitude capable once trained of using your own initiative and working proactively to meet the needs of the business.

Your key responsibilities will include:

  • Case Management and Data Input:
    • Data input and opening new matters on the Case Management System
    • Updating the Case Management System in accordance with team procedures
    • Producing relevant letters and documents
    • Ensuring accuracy in all data entry
    • Following team procedures carefully
  • Telephone and Reception Duties:
    • Answering telephone calls through the busy main switchboard
    • Directing calls to the appropriate person/department accurately and professionally
    • Speaking directly to clients with confidence and professionalism
    • Dealing with enquiries in a customer-friendly manner
    • Providing excellent customer service at all times
  • Document and File Management:
    • File archiving and retrieval
    • Scanning and photocopying documents
    • Dealing with incoming post
    • Post room duties
    • Maintaining organised filing systems
  • Communication and Liaison:
    • Liaising with colleagues clients and other parties
    • Communicating effectively across departments
    • Identifying potential improvements to processes
    • Communicating suggestions effectively to management
  • General Administration:
    • General administration duties for the firm
    • Supporting the Business Support Team
    • Working proactively to meet business needs
    • Any other duties as required
