Job Summary

The Senior Meetings & Events Planneris responsible for the end-to-end planning and execution of incentive programs meetings and special events. This role manages all logistical aspects of assigned programs working independently while collaborating with internal team department leadership and internal clients. The Sr. Planner applies proven event planning experience and budget management to deliver exceptional programs while actively growing in scope influence and leadership.

Responsibilities:

  • Independently design plan and execute incentive travel programs meetings and events from conception to completion.

  • Manage all event details including communication registration amenities catering production entertainment transportation/manifests venue selection program content and on- and off-site activities.

  • Negotiate vendor contracts manage assigned program budgets (ranging from $50K to $2M) and ensure timely financial reconciliation.

  • Develop timelines project plans and communication materials for assigned programs.

  • Collaborate with the internal team and department leadership to review options and align on strategy and best practices ensuring cross-program consistency before presenting to internal clients and stakeholders.

  • Provide on-site leadership and troubleshooting to ensure smooth program execution.

  • Collect analyze and summarize program feedback to inform future planning.

  • Maintain awareness of industry trends destinations and event technology.

  • Build strong working relationships with internal stakeholders vendors and partners.

  • Ensure compliance with legal risk and safety standards across all assigned programs.

Qualifications:

  • Bachelors degree in hospitality event management or equivalent experience preferred.

  • 610 years of incentive or corporate event planning experience ideally with exposure to large-scale travel programs.

  • Demonstrated ability to independently manage incentive trips and meetings including vendor and budget oversight.

  • Strong negotiation organizational and communication skills.

  • Experience with Microsoft Office suite; event technology platforms (e.g. Cvent) a plus.

  • Proven ability to manage multiple priorities and remain composed under pressure.

  • Industry certifications (CMP CMM CSEP) a plus.

  • Willingness to travel domestically and internationally as needed.

  • Ability to work flexible hours including long days during on-site execution.

  • Ability to lift up to 50 pounds and perform event-related physical tasks.
