4-H Online Data Systems Coordinator

POSITION SUMMARY
Plans coordinates oversees and executes assigned projects and/or large-scale special events for a unit of moderate size budget staff and/or complexity.
As the 4-H Online Data Systems Administrator you will serve as the primary point of contact for all inquiries and issues related to the 4-H Online system. You will lead efforts to ensure the system meets the evolving needs of Michigan 4-H Youth Development by identifying areas for improvement and advocating for necessary changes. Your role involves providing guidance to staff on system functionality troubleshooting challenges and supporting data collection processes. You will communicate directly with MSU staff regarding system updates and issues analyze data at the county district and state levels and develop reports to meet both local and federal reporting requirements. You will design procedures to extract and compile data from various sources including preparing reports for event coordinators and collaborating with event management staff to streamline data sharing and integration. Your deep understanding of the systems capabilities will allow you to advise MSU Extension leadership on ways to leverage the platform to achieve strategic goals. You will also ensure that all data collection methods maintain integrity and accuracy and that the system complies with civil rights and USDA/NIFA reporting standards.
In this role you will lead a dedicated task force of 4-H staff focused on enhancing system adoption and utilization. You will collaborate with broader MSU Extension teams including those managing PEARS Volunteer Excellence Fair Entry and club management to ensure the system supports the mission and strategic objectives of all youth programs. Serve as a spokesperson for 4-H Online at internal and external meetings and conferences sharing insights and updates on behalf of Michigan 4-H.
You will take the lead in developing and delivering training and educational resources to support staff and volunteers across Michigan in using the 4-H Online system. You will assess training needs create instructional materials and manage the development of presentations and reference guides. As the lead instructor for statewide programming you will organize and facilitate both in-person and virtual trainings including Zoom office hours to ensure users are confident and capable in navigating the system. You will manage state-level web content ensuring that online tools and resources are accurate current and accessible. You will also provide technical assistance to staff using the event registration feature helping them create events manage registrations generate payment reports and optimize their use of the system.
As the primary liaison with the 4-H Online system vendor RegMax you will represent MSU Extension in all interactions related to the platform. You will engage regularly with campus and county staff volunteers national leadership and peers from other universities across the country. You will participate in bi-weekly State Users Cohort meetings where you will vote on development initiatives report system issues propose solutions and maintain strong connections with other state-level system managers.
The campus of Michigan State University is the preferred location for this position. However an off-campus MSU Extension county office may be considered.
Characteristic Duties/Responsibilities
- Develops plans coordinates and manages assigned projects/events.
- Maintains records of assigned projects functions and events.
- Assists with project/event budget development and monitors analyzes and reconciles related records.
- Conducts research on assigned projects/events and for the development of new projects.
- Recruits hires schedules trains and supervises student on-call and temporary employees and volunteers for projects/events and related activities in order to ensure high quality service.
- Monitors contracts and agreements in order to ensure that all provisions are met.
- Coordinates evaluates and prepares reports on project/event activities.
- Oversees the preparation of project/event related publications.
- Maintains health and safety standards in order to ensure compliance with University State and Federal rules and regulations.
- Maintains inventory levels and orders supplies as necessary.
- Acts as liaison between vendors and users in order to obtain requested project/event materials.
Minimum Requirements
- Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Public Relations Communications Business or in an area related to the work being performed such as data management program development in 4-H or other related field.
- One to three years of related and progressively more responsible or expansive work experience in a field related to the position including planning and managing special events.
- Or an equivalent combination of education and experience.
- Experience in database spreadsheet word processing desktop publishing.
- Position may require software specific to the operational activities of the employing unit such as 4-H Online.
- This position requires or will require prior to the completion of the probationary period knowledge of basic personal computer terminology and operations and the ability to use e-mail and the Internet.
- Available to travel throughout Michigan. Transportation is the responsibility of the employee.
Desired Qualifications
- Effective oral and written communication skills.
- Demonstrated ability for accuracy and thoroughness.
- Strong computer skills including Microsoft Office.
- Proficient in Excel to assist with data analysis creating pivot tables graphs etc.
- Prior experience creating and developing training materials through video software such as Camtasia.
- Ability to lift and carry educational materials equipment etc. up to 25 lbs.
- Ability to travel in local and surrounding communities and occasional long-distance travel are required as a regular part of this position.
- Transportation is the responsibility of the employee.
- Proven ability in establishing and working with a network of constituents and community members across race gender socioeconomic class disabilities and other differences.
- Understanding of and ability to implement Civil Rights principles and compliance standards.
- Experience with web-based data management systems.
- Understanding of the 4-H Youth Development program structure and operations.
