Role & Responsibilities for Head Procurement

Systems and procedures

  • To Design and implement purchase systems and procedures.
  • To Design and develop systems to track and rectify variations/ deviations from planned course of action.
  • Ensuring compliance of good procurement practices
  • To Identify and streamline operations to improve productivity and reduce lead times.
  • To comply with process and procedures
  • To coordinate internal and external audits and ensure no non-compliance to statutory and internal procedures.

Procurement Strategy

  • To support the development of the procurement strategy for the specific area in line with organisations’ procurement strategy
  • To support the definition of Major Initiatives for the Function; and define and drive execution of Key Initiatives emanating from the MIs with milestones and action items.

Sourcing and Inventory management

  • To benchmark purchase prices of subsidiaries vis-à-vis market insights (ICIS etc); constituent/value analysis; and import statistics to maximize benefits accruable to the company.
  • To collaborate with R&D and packaging teams for development of vendors
  • To collaborate with Manufacturing Operations on supply compliance fixing norms space management and material movements.
  • To ensure Supply adherence for inventory planning and management by setting norms for ordering quantities etc. and developing tracking mechanisms to ensure optimum inventory levels for materials.
  • To ensure timely availability of material
  • To measure quality performance as per defined standards.
  • Anticipate potential stock outs and devise mitigation plans.
  • Work on strategies on preventing build up of slow moving and non moving stocks and arrange disposal if required.
  • Analytics and reporting as required from time to time.

Category management

  • Keep abreast with latest market trends technological changes and other external factors that determine the procurement & planning strategies.
  • Generate insights based on external data on price & supply trends to support procurement decisions.
  • Building Cost sheets based on component cost modelling
  • Formulating category strategy based on sources of supply supply/demand analysis market trends etc.

Cost Management

  • To ensure the better than market rates for materials/ total cost of ownership of desired quality through
    • Global agreements
    • Negotiations with existing partners
    • Competitive credit terms

  • Productivity Initiatives: Identify productivity initiatives on a constant basis through various initiatives including Value Engineering. Ensuring execution of identified initiatives to achieve plans.

Risk Mitigation

  • Define & implement risk management strategy
  • Working closely with R&D Operations & Divisions to identify current and potential supply risks and implement risk mitigation strategies to counter the same.
  • Defining mitigation plans for the risks
  • Reducing single source and single geography supplies.

Vendor development

  • Developing deep partnerships with critical vendors generate ideas in a collaborative manner which would benefit the organization and develop vendors to meet our requirements

People Development:

  • Ensure that all team members have complete clarity on their R&R and have the necessary tools and awareness of relevant SPPBMs to be able to deliver on the R&R
  • Ensure that all team members have clarity on the MIs / KIs / PIIs (Process Improvement Initiatives) that they need to execute
  • Coach team on delivering on all aspects of their role and support with obstacle-busting where needed
  • Provide timely assessment and quality feedback on improvement areas to each team member on all aspects of their performance
  • Regularly identify development needs of the team (to be a future ready workforce) and support them in developing the same.
  • Responsible for building a succession pipeline for the team

Measures

Buyers/ subordinate role measures/ metrics for their area of responsibility Plus :

  • Identification and execution of productivity measures in the range of 11.5%
  • Formulation and execution of Negotiation strategies for A class materials/ services
  • Clarity of R&R oaap index in the team and clearly demarcated area of responsibility of the team members.
  • Talent plan for respective team for next 23 years identification of gaps and proposed plan.
  • Vendor development ideas with objectives
  • Insights from competitive landscape import statistics icis etc. and identified improvement areas
  • Implementation of audit and statutory points
  • Defined sppbm training of team on the same and ensuring sppbm are being followed
  • Proactive risk identification mitigation planning and execution
