Job Summary

UBC Active Kids is a large-scale community outreach program housed within the School of Kinesiology. It provides recreational gymnastics sport and physical activity classes to individuals and communities of all ages and levels of ability.

This position is responsible for the day-to-day coordination programming and in-person leadership of the Active Kids Multisport programs services and events. General responsibilities include program development coordination and execution of all multisport related classes and initiatives the recruitment hiring evaluation training and the day-to-day supervision and mentorship of a large hourly staff structure and front-line instruction and leadership of all associated programs. This position requires a flexible schedule and will require evening and weekend work.

This role serves as a key member of the Outreach Programs at the School of Kinesiology; as such the incumbent communicates effectively contributes creativity using educational and experiential expertise and plays a critical role in the success of the Active Kids program.
Organizational Status

This position reports directly to the Active Kids Director and works in close partnership with the Active Kids Manager and Outreach Office Supervisor. Liaises with the public (parents and children) community partners student staff and volunteers faculty and departmental staff regarding the use of the assigned facilities equipment staff and programs.

Work Performed

Recruiting interviewing training scheduling supervising and performance evaluation of multisport program support staff and student volunteers for new and existing programs.

• Lesson plans curriculum development and program resources for all multisport related classes.

• Ensures adequate staffing is available to meet Active Kids program demand

• Ensures adequate coaching certification and accurate records of all support staff

• Organizes creates and leads staff orientation and training sessions such as general onboarding processes and program specific training

• Weekly in-gym instructional hours ranging from minimal to moderate are subject to change based on program requirements and staff availability

• Oversight for all multisport group bookings done by outreach office supervisor (CUPE Role)

• Organizes and maintains multisport facility spaces in a safe and logical manner which may include ensuring all required forms are stocked class lists are prepared for each term proper waiver tracking is executed report cards are created/printed/stocked coaching resources are available and any other required coach related support and communication is performed

• Advises on and maintains and documents detailed procedural and operational policies and plans for proper training techniques injury prevention / reporting equipment inspection / repairs maintenance of accurate records of all support staff and equipment

• Creates maintains and updates seasonal website and marketing materials posters and brochures

• Acts as the primary point of contact for multisport based public inquiries and reinforces all program policies

• Occasional payroll support for part time staff

• Develops and programs the seasonal multisport class schedules and associated workflows for all multisport programs and all bookings for public registration using program software called Xplor

• New multisport program design and implementation

• Evaluation and planning of all multisport based programs and events

• Advises on use of assigned financial resources and budgets

• Liaises with faculty and Outreach team to ensure programs are evidence based and best practices are implemented into program design

• Identifies learning objectives and experiential learning opportunities and provides mentorship for UBC students focusing on Kinesiology students specifically

• Exercises professional wise moral ethical and equitable judgement in all areas of gymnastics programming while also working within the defined operational policies and procedures

• Responsible for carrying out all other related duties as necessary in keeping with the requirements and qualifications of the job the vision and philosophy of Active Kids Outreach and the strategic plan of the UBC School of Kinesiology

Consequence of Error/Judgement
This is a position of trust as it delivers programs to children and adults from the community at large registered in the School of Kinesiology Active Kids programs. Errors could result in personal injury financial loss as well as in damage to the reputation of the School of Kinesiology and the University of British Columbia.

Supervision Received
Works in collaboration with the Active Kids Manager and under general managerial direction from the Director. Works under minimum supervision performs most duties independently. Works in liaison with faculty and staff of School of Kinesiology Outreach Programs.

Supervision Given
Manages staff students or volunteers and is responsible for hiring disciplining evaluation and termination.

Minimum Qualifications

University degree in a relevant discipline. Minimum of two years of related experience or the equivalent combination of education and experience.

Preferred Qualifications

• Undergraduate degree in a relevant discipline such as Kinesiology is considered an asset.

• Experience in instructing or coordinating multisport-based programming.

• Certifications such as NCCP Fundamental Movement Skills and Sport for Life are considered an asset.

• Familiarity with or experience applying physical education pedagogy principles.

• Strong time management organizational and communication skills across various platforms (verbal in-person written and reporting).

• Ability to effectively engage with a wide range of individuals including children UBC students and community members while navigating complex scenarios with respect and professionalism.

• Proficiency in computer applications including Microsoft Office (Word Excel Outlook). Experience with registration software Adobe Suite and online platforms is an advantage.

• Comfort operating job-related equipment such as computers printers scanners photocopiers and related peripherals.

• Completion of a criminal record check with the vulnerable sector is expected.

• Emergency First Aid/CPR certification and a willingness to maintain training.

• A valid drivers license with regular access to a vehicle.

• Experience developing instructing and coordinating physical activity programs at a community recreational or high-performance level.

• Knowledge of physical literacy and coaching best practice principles and NCCP Fundamental Movement Skill workshop completion is an asset.

• Proven leadership team supervision and community partnership building experience.

• Active interests and experience in Sports / Coaching / Recreation / Physical Education / Health and Wellbeing / Community Engagement People Management.
