Southern Ionics Inc. is seeking a dedicated Plant Administrative Assistant to provide clerical and administrative support to our management team at our Pasadena Texas facility. The role involves managing the purchase and delivery of materials and services maintaining historical transaction records administering employee benefits and handling personnel records including payroll and attendance.
Essential Funtions
- Daily Responsibilities:
- Receive and screen office visitors and telephone calls.
- Enter raw material receipts in Chempax and coordinate with Accounts Receivables.
- Manage shipping processes including interaction with UPS/FedEx.
- Prepare and process raw material receiving orders (RMROs) bills of lading (BOL) purchase orders (POs) quality and environmental paperwork personnel information and correspondence.
- Maintain ISO document control including MOCs training files and procedure updates.
- Manage petty cash checking account.
- Maintain inventory and order personal protective equipment (PPE) for transportation operations and maintenance.
- Oversee HR/local onboarding process for all new hires.
- Place purchase orders with vendors ensuring vendors are on the approved vendor list.
- Foster cooperative working relationships with all employees and stakeholders.
Qualifications
- High school diploma required.
- Minimum of 5 years of general clerical experience required.
- Experience with Chempax software is preferred.
- Strong knowledge of general office practices.
- Ability to interact professionally with the public.
- Trustworthy with a strong commitment to confidentiality.
- Proficiency in Microsoft Office and the ability to learn software specific to the chemical industry.
Physical Demands
- Prolonged periods sitting at a desk and working on a computer.
- Ability to lift up to 25 pounds.
- Occasional bending and stooping.
